Job Description
We're searching for a diligent office assistant to provide administrative support. You’ll be responsible for responding to all complaints and questions in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, and company events, ordering office equipment, and marketing our brand through community events and print and digital mediums. Applicants should be extremely thorough, organized & detail oriented, possess excellent communication skills, ability to multi-task in a fast-paced work environment, and have some background in customer service.
The successful candidate is required to have a reliable car and work in the office to support the team effectively- the office is located in Scarborough.
Compensation:$50,000+
Responsibilities:- Monitor deadlines and provide notices to appropriate parties when necessary
- Participate in training sessions to improve skills with administrative tasks in the real estate industry
- Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
- Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
- Respond to customer needs with urgency and attentiveness
- General Office Duties - Assist Team Lead with managing schedule and emails; answering phones; filing; email correspondence; maintaining office supplies; assisting and attending client appreciation activities; handling inquiries; working with front desk; preparing CMA’s and listing packages; delivering concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings; participate in training sessions to improve skills
- Listing & Purchasing Transactions - Prepare all listing and purchasing paperwork for agents; upload/edit listings on MLS; liaise with listing clients to coordinate and book vendors (staging, photographers, cleaners, etc.); call agents for client feedback on showings; provide assistance to purchasing clients by connecting them with appropriate vendors to help with their move
- Preparing Listings - Picking up/dropping off feature sheets, lockboxes, etc.; must have own car for the position
- CRM/Database Management- Data entry of new clients; newsletters
- Marketing/Social Media - Experienced in creating and posting digital content
- Duties may be changed or assigned as required to meet the changing needs of the business.
Qualifications:- Previous experience in the real estate industry
- Excellent written and verbal communication skills
- Has knowledge of Microsoft Office and customer relationship management software
- Weekend and evening availability
- Experience working with a real estate team would be an asset
- Minimum 1 year of office experience - Administrative Assistant background is required
- High attention to detail and strong organizational skills
- Positive attitude and friendly demeanor
- Excellent computer skills - Knowledge of Microsoft Office: Word, Excel and Google Workspace
- Experience using TRREB Stratus, WebForms, Authentisign, GeoWarehouse, and MPAC is an asset
- Self-motivated, works well with others, and with minimal direction
- Thrives in a dynamic team environment, with the ability to handle multiple priorities
- Solid team player who is always willing to step in for the benefit of the team
- Post-secondary education is ideal
