Integrated Health Clinic has been in business for over 20 years. With two locations to serve its patients. The clinic(s) provides a science-based naturopathic medical approach for patients seeking choice in their health care.

OBJECTIVE
Thee objective of the MOA is to perform various administrative functions within the clinic. This individual must support our doctors and lab personnel by performing various clerical and administrative tasks such as scheduling appointments, word processing, photocopying, email, filing, answering the phone, and correspondence. He/she is responsible for all front desk duties and provides excellent customer service to our clients and patients in person and over the phone. They must be able to provide accurate information to promote the clinic’s services, conduct themselves professionally, and be a role model to their co-workers.
PRIMARY RESPONSIBILITIES
- Daily opening and/or closing operations of the clinic’s main reception.
- Manage appointment schedule software for all patients
- Schedule and confirm medical appointments and receive and communicate messages to medical staff and patients
- Work in partnership with medical lab practitioners and other MOAs for the smooth daily operation of the clinic(s).
- Be the clinic’s first point of contact by answering phone lines and/or in-person inquiries and transferring calls to the appropriate practitioner or staff member.
- Enter and format electronically based medical reports and correspondence and prepare spreadsheets and documents for review.
- Interview patients in order to complete forms, documents and case histories, and complete insurance and other claim forms
- Answer patient inquiries regarding the services the clinic currently offers
- Arrange and book appointments for all doctors and medical staff, must pay close attention to updates of each professional’s service itinerary to ensure all patient inquiries and needs are accurately looked after.
- Prepare financial statements and billing invoices and take payments from patients
- Prepare a daily financial report outlining payment types and amounts with the daily total for the end of each day balance/close.
- Maintain and update patient medical files and records with the utmost confidentiality
- Maintain various internal office administrative support procedures such as document tracking and filing and monthly reporting
- Order supplies and maintains office inventory
- Determine and give feedback to management in order to establish better office procedures and routines
- May train and supervise junior administrative staff in clinic protocols, customer service and the use of the clinic’s scheduling software
- Perform other clerical duties as assigned

- Able to work under pressure and manage stressful situations that might arise while always maintaining a professional demeanour and confidence to carry out all daily responsibilities
- Excellent interpersonal skills and effective oral and written communication skills to be able to communicate with all patients, coworkers and superiors in a fair, professional and friendly manner
- Ability to work independently and with minimum supervision
- Able to multitask and move from one area of job duty to another without hesitation
- Welcoming personality and possess a good sense of humor.
EDUCATION REQUIREMENTS
- 2+ years’ experience in medical office administration and similar office settings
- Completion of Medical Office Assistant (MOA) diploma or certificate program or equivalent experience
- Able to work flexible hours, including Saturdays
- Able to read and understand medical terminology or pharmacology, management software, and basic medical office procedures
- Good computer skills and ability to use MS Office such as Outlook, Excel and Word
