Reporting to the Chief Operating Officer of Pediatrics and the Head of the Division of Gastroenterology, in the Department of Pediatrics, the Administrative Assistant provides high quality administrative and clerical support to designated members of this Division as assigned. Responsibilities include, but are not limited to: Transcribing a variety of documents (manuscripts, letters, memos, abstracts, research grant applications, protocol applications, etc.); Preparing Power Point presentations; Liaising with outside organizations and pediatricians; Scheduling appointments and meetings; Maintaining Physician schedules and appointments; Arranging travel clinics; Organizing meetings; Preparing agendas; Recording, transcription and distribution of minutes; Filing; Making travel arrangements; Processing claims; Answering phone calls and email messages; Processing mail; Composing correspondence; Entering data and maintaining databases; Photocopying and scanning; Maintaining and reconciling financial accounts; Ordering supplies; The responsibilities above are representative and should not be construed as all-inclusive.

- Minimum High School Diploma or G.E.D. required.
- Graduate of a recognized Office Administration Program required.
- Minimum six (6) months related administrative experience required. One (1) year is preferred.
- A combination of equivalent education and experience may be considered.
- Working knowledge of Microsoft Office and other computer programs/technology required (testing may be conducted on candidates).
- Keyboarding skills minimum of 40 w.p.m. required, 60 wpm is preferred (testing may be conducted on candidates).
- Medical terminology and dicta typing experience required.
- Excellent multi-tasking, organizational and prioritization skills required.
- Proven team player with excellent communication and interpersonal skills required.
- Demonstrated ability to work independently with minimal supervision required.
- Demonstrated ability to respectfully work with a variety of inter-professional team members required.
- High degree of initiative, diligence, attention to detail, and self-discipline/focus required.
- Demonstrated ability to work independently with minimal supervision required.
- Experience organizing case conferences, meetings, guest visits and teleconferences required.
- Experience in a related role in a health centre or university/academic environment preferred.
- Experience in bookkeeping preferred.
- Demonstrated experience and proficiency with Access Database preferred.
- Experience in SAP, Meditech, Microsoft Office Outlook, PubMed, DalMedix, Adobe Acrobat an asset.
- Experience preparing research grant applications, manuscripts, protocols and reports an asset.
- Experience taking and producing minutes an asset.
- Experience with Dalhousie and IWK financial systems an asset.

- Competencies in other languages an asset
