The Opportunity
We currently have an opportunity for an Administrative Assistant to join Newcrest - Smithers, BC Office.
Through guidance and consultation with the Warehouse Supervisor, and or designate, the Administrative Assistant will be available to assist in tasks and duties to support managers/supervisors and coworkers. First point of contact for public this role will be the face of Newcrest Smithers and is expected to project a friendly and professional demeanor at all times.
Perform following duties, with safety being the number one priority
- Monitor Smithers general phone line and Admin email.
- Respond to public and business enquiries.
- Maintain office files.
- Maintain Sign In sheet as part of Emergency Response Plan
- Coordinate and monitor facility maintenance and services (plumbing, janitorial, pest control, etc)
- Mail distribution, including pickups from Post Office
- Perform in-town pickups and drop-offs, including Airport, if required
- Running errands and performing miscellaneous job-related duties as assigned
- First point of contact for security contractor
- Data entry
- Assist with Safety and Training processes, including booking arrangements.
- Inventory and replenish office and kitchen supplies, including entering requisitions in JDE/SAP
- Invoicing reconciliations
- Assist with public sessions and activities.
- Preparation and distribution of Newcrest correspondence, posters, policy, and reports
- IT Coordination, Guest WIFI management, and temporary workspace allocation
- Ensure boardrooms, lunchrooms, guest office spaces are stocked.
- Ensure we are prepared for visitors with supplies, lunches, schedules, etc.
- Able to establish and maintain strong working relationships with staff and contractors
- Understand and ensure compliance with Newcrest safety policies and governmental safety regulations including Ministry of Mines and WorksafeBC
- Perform other related duties as required.

About You
Position requirements include, but are not limited to:
- Business Technology Office Assistant Certification (an asset)
- Three years’ experience in a similar position
- Advanced communication skills and the ability to manage multiple tasks
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology
- Advanced computer software skills (i.e., word processing, spreadsheet, and system tracking software applications)
- JDE/SAP software experience (an asset)
- Excellent command/comprehension of the English language with strong verbal/writing skills.
- Strong/demonstrated leadership, communication, and conflict resolution skills
- Knowledge of workplace safety requirements and procedures
- Analytical and problem-solving skills
- Demonstrated time management and decision-making skills
- Cross cultural awareness with an understanding and sensitivity of the challenges associated with differences in cultural and economic backgrounds
Additional Information
- Able to pass a pre-employment medical screening
- Must be able to lift/move up to 50lbs throughout a work shift
- Able to work in areas of extreme weather conditions
- Able to work in close quarters with the team
