Job Description
We are looking for a skilled administrative assistant, organizer, and problem solver to support our Architectural and Construction Management offices. An individual that thrives in a fast-paced environment, while maintaining accuracy and order would be the ideal candidate.
Responsibilities include, but are not limited too:
- Handle general office tasks and administrative duties.
- Office filling, organizing.
- Manage phone calls and correspondence.
- Organizing travel, accommodations, related details, and confirmations.
- Process and verify departmental paperwork such as expense reports, project requirements, pre-travel authorizations, invoices, policies, etc.
- Order office supplies and maintain inventory.
- Performing other administrative duties such as project setup, data entry, copying, collating, faxing, filing, document retrieval, scheduling, sending out correspondences to client and other offices, mailings, information gathering, word processing, creating spreadsheets, transcription, and document binding.
- Greeting visitors/ clients, handling courier
- Health and Safety tasks
- Accounting- invoicing, payroll, human resources related tasks.
Experience:
- Must have at least 3 years of experience in detail-orientated administrative work and accounting work.
- Minimum College level degree required.
- Be able to use Microsoft office, WORD, Excel, Simply Accounting
- Strong people skills, and ability to work with wide variety of staff and clients.
- Must have strong communication skills, both written and verbal
- Ability to multi-task
- Any experience in the engineering or construction industry is an asset.
- Thorough knowledge of modern office procedures
Contract Position: Contract Position up to 1 year. Possibility of full-time employment.
Job Type: Fixed term contract
Contract length: 12 months
Salary: $20.00-$22.00 per hour
