Job Description

We are seeking a skilled and motivated Part-Time Dental Administrator to join our faced-paced, patient focused orthodontic office. As a vital member of our team, you will play a key role in ensuring the smooth operation and exceptional patient experience in our practice. The ideal candidate will possess excellent organizational, communication, and customer service skills to thrive in this dynamic environment.

Responsibilities:

Patient Scheduling and Coordination:

· Efficiently manage appointment scheduling for new and existing patients, ensuring optimal utilization of the orthodontist's time.

· Confirm and remind patients of their appointments via phone calls, emails, or text messages.

· Handle rescheduling and cancellations professionally, maintaining the appointment book accurately.

Front Desk Operations:

· Greet patients warmly and create a friendly, welcoming atmosphere at the front desk.

· Collect and update patient information and medical history in the practice management software.

· Verify insurance coverage and assist with the preparation of insurance claims for orthodontic treatments.

Financial Management:

· Collaborate with patients to discuss treatment costs, payment options, and financial arrangements.

· Process payments, and manage billing inquiries.

· Ensure timely and accurate documentation of financial transactions.

Administrative Support:

· Organize and maintain patient records, both physical and electronic, in compliance with HIPAA regulations.

· Manage office supplies and order new stock when necessary.

· Handle incoming calls and inquiries promptly and professionally.

Communication and Customer Service:

· Provide exceptional customer service to patients and their families, addressing their questions and concerns with empathy and efficiency.

· Communicate treatment plans and instructions effectively, ensuring patients are well-informed and comfortable throughout their orthodontic journey.

Office Maintenance and Cleanliness:

· Keep the reception area and waiting room tidy and presentable.

· Ensure a clean and sterile environment by adhering to infection control protocols.

Qualifications:

· Proven experience as a Dental Administrator, Receptionist, or in a similar administrative role within a dental or orthodontic practice is preferred.

· Knowledge of dental terminology, procedures, and orthodontic treatment processes is advantageous.

· Familiarity with dental practice management software is desirable

· Strong organizational and multitasking abilities to handle a variety of responsibilities efficiently.

· Excellent interpersonal and communication skills to interact with patients, families, and team members.

· Proficient computer skills and ability to learn new software quickly.

· Attention to detail and accuracy in managing patient records and financial transactions.

· Ability to maintain confidentiality and adhere to privacy guidelines.

Working Hours and Compensation:

This is a part-time position, with no evening or weekend shifts. Compensation will be commensurate with experience.
