Please note that this role will be best suited for candidates who have a valid drivers license and access to a vehicle for daily use as the expectation is to work onsite up to 5x per week at our various locations in the West GTA.
Job Overview:
The Billing Analyst is responsible for supporting operations at our facilities by providing administrative assistance and general financial tasks, manage and create Purchase Orders, reconcile timesheets with invoices received from various contingent labour vendors.
Key Responsibilities:
- Support the Operations/Accounting team by ensuring timely and accurate completion of the weekly invoicing process
- Create New vendor Request for Coupa Supplier portal when needed
- Create Purchase Orders in Coupa
- Maintain an accurate and complete trail of weekly timesheets
- Coordinate and direct the preparation of monthly sheets for reconciliation and investigate discrepancies when necessary
- Receive invoices in Coupa in a timely manner while keeping track of weekly hours submitted vs invoices received
- Furnish internal reports, revise and update reports to be more useful and efficient
- Ensure timesheets are recorded and maintained in compliance with company policies and procedures
- Ensure Rate Table is properly applied to all pay and bill rates
- Ensure Stat Holiday, Overtime and premiums are being properly calculated and invoiced
- Maintain intercompany reconciliations on a weekly basis
- Complete ad hoc administrative duties
- Electronic and manual filing of documents, reports, journal entries and other Accounting related information
- Support various business projects
Recipe for Success:
- Completion of college diploma or university degree in Accounting, Business Administration, or a related field of study
- Minimum 1 year of previous experience in a billing role
- Strong communication skills (verbal and written), adapting message to suit stakeholder group.
- Strong organizational skills, with the ability to prioritize in a fast-paced growth environment.
- Great MS Excel skills including Pivots and Formula/Functions experience required
- Knowledge and understanding of payroll reconciliation
- Proven initiative and willingness to drive change, with a focus on innovation, process improvement, and solving problems
- High degree of professionalism, ethics, and integrity
- Sound judgement and good analytical skills, as well as excellent research skills
