About Us:
The Newmarket Soccer Club is a long-standing not-for-profit sports organization in the Town of Newmarket. We have a reputation for being a progressive club with extensive programs for our registrants. We run our programs, and other community events at our indoor facility as well as on outdoor fields in the Town of Newmarket. We are looking for a Bookkeeper who provides daily management of accounts, keeps businesses aligned with provincial and federal tax laws and manages accounts payable and receivable to join our staff team.
Responsibilities:
· Processing of cheques or cash with allocation forms for recording and depositing into NSC’s Bank.
· Creation and presentation of monthly financial reports and balance sheets will be presented at each board meeting to include:
o Expense reports
o Revenue reports
o Cash flow and liability reports
o Monthly accrual reports
· Oversee and manage the NSC’s Teams Funds accounts via working with the NSC’s Team Officials and internal full-time staff.
· Work within NSC’s registration system (PowerUp) on a continuous basis to review, maintain and record any registration transactions received (deposits; refunds; pro-rates; credits).
· Process all A/P including payroll.
· Set up EFT payments and print off cheques if NSC does not have EFT information. EFT payment reports will be sent to the treasurer for review and authorization of the payment.
· Processing of NSC credit card statements.
· Processing of NSC merchant account statements.
· Reconciliation of all statements with the bank and PowerUp reporting.
· Preparation of Quarterly HST returns will be prepared and sent to NSC treasurer for approval. Once approved, file the return and process any necessary payment through online banking.
· Preparation of documents for year-end submission to the accountant for financial statement preparation.
· Work with auditors as need be.
· Provide reporting for any grants that are received by NSC.
· Process the payroll on a bi-weekly basis providing pay stubs to NSC via secure email for processing payments for full time staff.
· Process payroll for part-time/hourly employees, process the payroll, print pay stubs, and place them in sealed envelopes and mail accordingly.
· Maintain the vacation requests for payroll processing and tracking of vacation for all employees. Hourly/Part-Time employees will receive vacation pay on each pay.
· Payroll deduction processing to also include PD7A forms to be sent to NSC treasurer for approval. Once approved electronic payment submission to CRA is to occur.
· Complete ROE’s for all employees when contracts are completed or employment is terminated.
Additional Responsibilities:
· Work with the General Manager for the creation and submission of grants.
· Work with the internal staff in the preparation of budgets and program/project fee presentations.
· Oversee and generate invoices and process payments for facility bookings (using existing Sportskey platform).
· Ensure that players’ fees (recreational and competitive) are up to date and processed accordingly.
· Apply the player fee subsidy programs accordingly (i.e., Jumpstart programs).
· Oversee the Club’s Sponsorship Initiative (invoice generation, payment processing, tracking of sponsors).
· Provide administrative assistance as required.

Experience and Qualifications:
· Highly organized, with the ability to constantly re-prioritize.
· Experience of working in a not-for-profit organization preferred.
· Self-starter who takes responsibility for completing tasks on time.
· Effective communication both written and oral.
· Represent the club in a professional manner and provide excellent customer service.
Education and Requirements:
· Completion of a college program in accounting, bookkeeping or a related field or completion of two years (first level) of a recognized professional accounting program (e.g., Chartered Accounting, Certified General Accounting) or courses in accounting or bookkeeping combined with several years of experience as a financial or accounting clerk are required.
· Ability to work in an office setting.
· Ability to work evenings.
Compensation:
Hourly wage of $25.00 plus depending upon candidate’s experience.
