The ideal candidate for this role would possess exceptional organizational and time management skills, as well as strong attention to detail and the ability to multitask effectively.Responsibilities
- Provide a variety of advanced executive assistant functions under limited direction.
- Display initiative to assist in co-ordination of departmental responsibilities.
- Organize global departmental meetings / activities across multiple time zones.
- Handle confidential information with high level of discipline.
- Develop correspondence, reports, presentations, meeting agendas, emails and external communications.
- Coordinate travel arrangements and meeting engagements.
- Review of expense reporting of direct reports.
- Special event planning and execution.
- Screen e-mails and telephone calls.
- Visitor planning and arrangements.
- Keep organization chart updated.
- Welcome new employees and the associated processes.
- Anticipate the needs of others in order to ensure their seamless and positive experience.
- Represent the executive office / business area / function in a highly professional and welcoming fashion
- Reinforce the AVEVA Values and culture
- Miscellaneous administrative duties as necessary, including ad-hoc assignments.
Qualifications- Highly professional, considers confidentiality sacred, high attention to detail, strong initiative – proactive and positive attitude
- Resourceful and hard working.
- Ability to learn new processes and applications quickly.
- Adept at utilizing technology and various software tools to increase efficiency and effectiveness.
- A self-starter able to work on own initiative and well in a team environment.
- Strong communication skills, both oral and in writing.
- Administrative experience working in a multi-cultural/corporate environment.
- Ability to understand business challenges and priorities to deliver added-value contribution.
- Excellent interpersonal skills – contagiously friendly, with ability and confidence to effectively interface with senior management and all levels throughout the organization.
- Well organized with attention to detail and high-standard ethics.
- University Degree
- Prior Executive Assistant Experience.
