Executive Assistant – Provincial Outreach Teams
A critical Administrative role providing a variety of services to the program director and Provincial School
Outreach Teams. Permanent full time school term/10 month exempt position.
Providing exceptional clerical, administrative assistance and confidential support to the program’s director and its team of outreach consultants, you are an efficient, motivated and an organized Executive Assistant.
As an excellent communicator with an understanding of administrative, technical, and procedural components that are related to the provincial program’s mandate to provide in-person and virtual support to school districts throughout British Columbia, particularly those located in rural and remote regions.
Adept in administration and technology, you are responsible for a variety of confidential duties related to how program personnel provide services and support to students with disabilities and diverse abilities across the province. This position is required to closely coordinate with school districts in order to gather relevant information that will enable program personnel to provide timely in-person outreach. This includes scheduling school visits, booking transportation and arranging accommodation. Other confidential duties include detailed record keeping of referrals to the program, documenting consultation with school districts and community agencies, and tracking program services provided. The position includes budget reconciliation responsibilities for the program and an ability to update the program’s website, social media and online presence on an ongoing basis.
Your excellent interpersonal and communication between various local and provincial networks will provide clear and helpful information specific to the services and support the program offers. Strong interpersonal skills are essential, including an ability to genuinely convey care and compassion that will help build strong relationships with school and district personnel.
Ideally, you possess two year post-secondary program in a relevant discipline, e.g. Business, Legal, Administrative
Studies, Communications and five years of relevant experience. What makes you an effective worker is the ability to take initiative and work independently to manage multiple priorities and meet deadlines.
Assuming a range of responsibilities, your duties as Executive Assistant of Provincial Outreach Teams are critical in supporting school and district personnel, parent(s) / guardian(s), and community service providers across the province.
