Under the general supervision of the Director of the Office of the Vice President & Principal, and with a dotted line to the Executive Director, Strategy, the incumbent acts as the first point of contact for all individuals entering the Office of the Vice President and Principal (OVPP), triaging requests and queries in a welcoming and responsive manner. Duties include managing the complex schedules for the Director of the Office and the Executive Director, Strategy (the D&ED), while occasionally providing general support to the Director, External Relations and Director, Vice-Presidential Communications & Senior Writer ensuring deadlines and commitments are met. The incumbent will be responsible for preparing confidential and sensitive correspondence and preparing presentation and support materials for use in internal project and initiative meetings, advisory and governance bodies and other activities as they arise. In addition, the incumbent uses the University’s information systems (HRIS, FIS, ROSI) to support the Directors’ review and action on various human resources actions, financial processes, and stakeholder concerns. The incumbent is also responsible for liaising with other campus departments, for generating and maintaining meeting records, general office files, and communications, and for supporting events and activities tied to the Director and Executive Director’s’ portfolios as well as other campus and divisional events and activities. Broader tri-campus collaborations with UTSG and UTSC colleagues will also be expected based on the initiatives at hand.
The incumbent works in a complex environment that requires a high degree of understanding, sensitivity, responsiveness, independent judgement, and a need to maintain absolute confidentiality across all matters, including human resources, labour relations, and financial matters. The incumbent must maintain an indepth understanding of the Office of the Vice President & Principal's priorities and always present a professional image by interacting knowledgeably and courteously with various individuals, including senior administrators, faculty, staff, and community members. In addition, the incumbent must adhere to and keep abreast of all University of Toronto policies and standards.
The incumbent plays a significant role in providing operational support in the Office of the VPP and must be detail oriented, committed to quality work delivery and highly collaborative. Additionally, they must have a genuine interest in furthering the university’s goals as well as those of the campus strategic framework.

Qualifications:
EDUCATION:
Bachelor’s degree or an equivalent combination of education and experience. Project Management training or certification would be an asset.
EXPERIENCE:
Minimum of five years administrative support experience or three years of senior administrative support experience, with significant experience in a post-secondary setting, including having had exposure to work pertaining to student support, administrative office operations, short- and long-term strategic planning, and academic operations. Experience with basic accounting and financial administration. Familiarity with the University of Toronto, its relevant policies and procedures and their application.
SKILLS:
Computer fluency/literacy with proficiency in Microsoft Office suite (including MS Word, Excel, PowerPoint, Teams, and SharePoint) and electronic scheduling software and e-mail. Knowledge of project management methodology and computerized applications and systems to promote efficiency. Must demonstrate meticulous approach to work and strong attention to detail and accuracy. Must have excellent organizational and planning skills. Must demonstrate ability to track, manage and compile information and data. Demonstrated researching and writing skills, copy editing and content editing capabilities, ability to summarize and collate key concepts from a variety of sources, fact checking abilities. Proven ability to effectively write and edit varied written communications (e.g., reports, correspondence, etc.). Demonstrated ability to organize and prioritize a variety of deadlines and schedules simultaneously under minimal supervision.
OTHER:
Excellent oral and written communication, interpersonal, analytical, decision-making and organizational skills; demonstrated initiative, accuracy and attention to detail; demonstrated judgment, tact, discretion and ability to handle matters of a sensitive and confidential nature, including matters governed by privacy policies. Ability to work independently on multiple tasks, concentrate and produce accurate, timely work in an atmosphere of frequent interruptions. Ability to work effectively and professionally, both independently and within a team environment. Experience interpreting and explaining complex policies, procedures, rules of order and operations, including to individuals with little knowledge of post-secondary settings; ability to deal with difficult people and emotionally charged situations. Incumbent must have strong understanding of issues of equity, inclusion and diversity.
