Job purpose

The Front desk associate plays a very important role in the client journey. The front desk associate is often the first influential point of contact for clients. It is the role of the front desk associate to ensure a positive client experience from the very beginning. It is also a main role of the front desk associate to ensure all daily billing is submitted and completed. Clinic tidying and cleaning is also expected.

Responsibilities and Duties

Provide exceptional client experience beginning with initial contacts [telephone, email, in person inquiry etc] through to the end of the entire client wellness journey.

Manage and optimize practitioner schedules.

Ensure electronic appointment reminders have been sent to clients.

Ensure all billing is submitted, accurate and complete at the end of each day.

Assist with cleaning and tidying of clinical equipment as required.

Keep front reception and client waiting area clean and tidy.

Keep team kitchen, lounge and restroom clean and tidy.

Assist with laundry as required.

Assist with general clinic cleaning and tidying as required.

Collaborate with all other Clinic team members to ensure smooth and efficient operations.

Ensure clients are aware of all services available to them as required.

Offer coffee, tea or refreshments to clients in the waiting area as required.

Follow accounting procedures as per guidance of external bookkeeper/CPA.

Oversee client EMR system.

Engage with other team members regularly

Please be aware that occasional evening shifts may be required as clinic demand dictates.

Qualifications & Attributes

1+ year experience in customer service or reception considered an asset.

Comfortable with common computer applications (word processing, email etc.)

Experience with common client EMR or proven ability to learn new applications.

Accounting experience considered as asset.

Interest in outdoor activities viewed as an asset.

Customer service experience viewed as an asset.

Positive disposition.

Self-starter.

Motivator.

Attention to detail.

Job Type: Full-time

Salary: $17.00-$19.00 per hour
