Position Summary
The Fundraising & Development Events Officer is responsible for supporting a variety of fundraising and stewardship events for the Office of Development. The incumbent reports to the Executive Director and works in collaboration with the Senior Development Officer, Events & Sponsorships, who is the lead on most events and event-related initiatives. The incumbent must be experienced in all aspects of the planning process from event concept planning to day-of logistical execution, as well as post-event activities; this involves the ability to see the big picture; pay attention to finer details; and identify and proactively problem-solve all possible event problems. The incumbent will work directly with sponsors and donors and the entire Development Team to ensure fundraising and donor relations events achieve established goals.
Some of the events organized by the Office of Development are annually recurring for example, the Centennial Golf Tournament, and Student Awards Celebrations. Other events are new, one-time, or customized events. While some events are corporate-style for up to 500 people or more, others are more intimate and specifically arranged for an individual donor and/or their family members or organizations who financially support Centennial’s mission.
Responsibilities:
- Responsible for operationalization of event concepts and identifying logistical requirements and ensuring their effective and efficient execution at the event
- Schedule and determine the breakdown of roles and responsibilities for event volunteers.
- Collect and organize marketing materials and collateral required for events.
- Execute logistics on the day of the event; including physical set-up/take-down and coordination of internal stakeholders for set-up and maintenance (ex. AV, Security, etc.).
- Identify new and innovative ways to use technology to support event logistics and achieve revenue targets.
- Communicate with project stakeholders to ensure all parties have current information; ensure project progress is consistent with stakeholder expectations; and overcome barriers to project completion.
- Communicate technical requirements to A/V companies or onsite with AV technicians at venue
- Supports communications for Annual Student Awards Ceremonies as needed including connecting with students (scholarship winners) and donors.
- Liaises with external stakeholders, such as golf sponsors, donors, event guests, catering and rental vendors to give instructions, share information and collect information relevant to the event planning process.
- Prepare summaries on executed events summarizing event outcomes, concerns, and successes of the event, as well as expense summaries.
- Conduct post-event assessment to identify lessons learned and recommendations for future improvements to event management processes
Qualifications/Experience
- Two Year diploma or equivalent in a Fundraising Management, Event Management, Hospitality or Business Administration program, or equivalent program.
- Minimum 3 years of experience in of the event process, including the planning, development, and implementation of events.
- 3 years of work experience, preferably within a non-profit/charitable organization.
- Experience with fundraising and/or stewardship events is required.
- Excellent organization and project management skills.
- Experience working with fundraising professionals, donors and/or sponsors is required.
- Experience leading the planning and execution of a variety of events, including corporate events for 500 guests or more, and small intimate events planned in honor of one person or corporation that was highly customized.
- Proactive problem-solving abilities and adaptability to respond to unexpected challenges or changes in event plans; critical and quick analytical thinking to be able to respond to on-the-spot client concerns.
- Ability to work under pressure, and stay calm and collected during stressful event situations.
- Ability to work independently, establish and meet priorities, and exercise good judgement.
