Event & Marketing Coordinator

The Role
This position is responsible for supporting various marketing programs and initiatives within the Marketing and Communications team. Specifically, this role is responsible for planning and execution of corporate events (internal/external), trade shows, customer appreciation events, and industry events. This position supports multiple brands across all business units for both B2B and B2C initiatives.
Event Marketing Campaigns- Invite and campaign management for all lines of business events, RSVPs, post event thanks you, landing pages etc.
- Oversee planning and deployment of event invites, surveys and post event analytics
Event Planning and Execution
- Organize internal and external corporate events (professional associations, conference sponsorships, speaking engagements, golf tournaments, customer events, town halls, etc.)
- Responsible for pre-conference coordination including project plan, venue selection, contract negotiation, budget preparation, invitee list and invitation management, etc.
- Ensure event concept and print materials are on message
- Create of all visual elements and printed materials for the event
- Coordinate, supervise and train event volunteers as required
- Source, order and coordinate distribution of event related swag
- Event execution includes working closely with venue staff, room set-up, co-ordination of speakers, guests and timing (as applicable). Provide on-site logistics including registration, name badges, and gift bags/giveaways
- Act as day-to-day point of contact with external event management suppliers where applicable
- Post-event responsibilities include timely thank you communications, compiling program feedback and processing invoices, budget reconciliation, and final report of activities
- Actively manage trade show calendar for all brands and lines of business
- Support Special Events lead on various event projects
Internal Communications- Ensure communications are clear, consistent, appropriately branded, and follow brand standards
General Support- Manage promotional item requests. Work closely with preferred vendor to ensure items meet branding guidelines.
- Oversee pre-production, ordering, and delivery, while remaining within budget and meeting deadlines.
- Maintain marketing inventory through tracking, and reconciling billing as required.
- Oversee inventory, restocking, reporting and invoicing of online store
- Ensure all supplies are ordered and kept at appropriate inventory levels. In addition to standard office supplies, items include special paper for printing, boards for mounting presentations, blades, kitting and packaging materials, etc.
- Prepare invoices for processing; prepare credit card reconciliation
Product Launches and Promotions- Assist with the execution of product launches and national sales promotions (as required)
Swag Requests
- Oversight and management of corporate gifting projects and swag requests
- Oversee and manage budget as it relates to events, corporate gifting, and swag
- Awareness of event and event related costs to plan upcoming yearly budget requirements with accuracy
- Adhere to budget and find efficiencies
- Manage vendors relationships
Marketing Processes and Standards- Comply with marketing standards and follow set processes for routine work
- Assist with the development of marketing processes

What You Bring To The Team
- Successful completion of post secondary education in the field of marketing and communications an asset
- 2-5 years' experience in an event marketing or communications role
- A minimum of 2 years' working in event or trade show marketing
- Knowledge of professional communications and marketing principles
- Exposure to budget and vendor management
- Ability to maintain confidentiality on all sensitive matters
- Enthusiastic, creative and experienced in working effectively in a team-oriented, collaborative environment
- Strong administrative skills with demonstrated attention to detail
- Excellent organizational and time-management skills with the ability to multi-task in a fast-paced environment and meet tight deadlines
- Strong interpersonal skills with the ability to interact with a wide range of internal and external contacts
- Customer service focus, with strong oral and written communication skills
- Self-driven, motivated with the ability to work independently and in a team environment
- High level of accountability; carries out duties with integrity and takes responsibility for actions
- Proven desire to learn and succeed; committed to ongoing development
