Office Administrator
Job Description:
The Office Administrator supports the smooth operation of the Data Processing System in entering data. They must maintain full confidentiality of the information and must have a good working knowledge of (Windows Office Package) computers, producing accurate work.
Office Administrators must also produce batches accurately and prepare accounting information for processing, such as month-end work related to accounts payable and receivable and must safeguard the assets of the company by assuring that all data entered is correct, to the best of their knowledge. For the most part, general office duties are dictated by the workload and the time of the month.
Duties and Responsibilities:
- Be prepared to answer queries and provide information to Petro-Canada, other CMF sites, the Credit Department, and Management.
- Maintain a positive and pleasant attitude with customers and co-workers alike.
- Answer phone calls and take and convey messages.
- Be aware at all times of the safety aspect of the work site.
- Relieve other employees in other positions during vacation, sick leave, or other absences.
- Handle some customer account inquiries.
- Enter invoices, purchases, and postings in the system as may be required.
- Prepare bank deposits and balance to the batches as required.
- Utilize all clerical knowledge possible to ensure the best financial interest of CMF.
- Assist in ensuring data is correct for monthly customer statements.
- When required assist Controller in preparing GL data, accounts receivables and payables.
- Maintain the accuracy of customer accounts.
- Maintain adequate stock on hand and order general office supplies as required.
- Ensure accurate margining by analyzing any negative values.
- Comply with all the requirements of the Federal Privacy Act.
- Good Knowledge of Account Receivables and Excel sheet.
Reporting:
Reports directly to the CMF Controller.
Preferred Qualifications:
- High School Diploma.
- Post-secondary education in business, computers, or office management is an asset.
- Proficiency in the use of computer programs for: Word processing, Databases, Spreadsheets (excel sheet), Bookkeeping, E-mail, and Internet use.
Job Types: Full-time, Permanent
Salary: $20.00-$22.00 per hour

Education:
- Secondary School (preferred)
Experience:
- Front desk: 1 year (preferred)
- Administrative experience: 1 year (required)
