Job Description
This position will appeal to a highly organized, results oriented individual who wants to work for a locally owned and operated construction company.
Hipperson Construction is looking for a Construction Office Administrator for our office located in downtown Regina. This position reports to the Senior Accountant for accounting related tasks and to Human Resources for all other tasks. This individual is a vital contributor to the Project Management and Estimating team.
Responsibilities:
Accounting
- Payroll entry
- Filing of accounting documents
- Print invoices from the accounting email
- Checking if PO’s have been pushed in Procore to match the newly received invoices
- Checking Statements
- Collect rent and create receipts for QA if tenant drops off in office.
Office Admin/Reception
- Filing
- Phones
- Opening and distributing mail
- Assisting with Apprenticeship process
- Updating Safety Training Matrix
Project Coordination/Estimating
- Downloading and distributing tender documents
- Updating the tender calendar
- Distribute quotes and faxes that come in
- Assist in preparation of tenders and pre-qualifications
- Setting projects up in Procore
- Document control throughout projects
- Compiling and Completing Operation and Maintenance Manual
Qualifications:
- Some post-secondary education in Office or Business Administration, or a combination of schooling and relevant experience as an Office Administrator. Preference will be given to candidates with experience in the construction industry.
- Proficient on computer software applications (Word, Excel, Outlook), competencies in Adobe Acrobat will be considered an asset;
- Demonstrates initiative, highly organized, with effective time management skills
- Ability to work in a team environment and demonstrate a high degree of accuracy
- Excellent verbal and written communication skills.
