We’re searching for a full-time, permanent, bilingual (English and French) Dental Office Administrator who is passionate about providing the best patient experience possible.
Location: Dentisterie Aylmer, 366 Chemin d'Aylmer, Gatineau, Quebec
Hours: Monday to Thursday 8:00am - 4:30pm, Friday 8:00am - 2:00pm.
No evenings or weekends!
As an Office Administrator employed by MCA Dental Group, you are responsible for:
- Ensuring that patients are warmly welcomed and promptly attended to:
- Checking and updating patient information for each scheduled appointment;
- Checking patients in for their appointments;
- Communicating with patients while they wait, including letting them know if the schedule is running late;
- Ensuring that the reception area is well presented, welcoming, and organized;
- Accurately entering all patient information into dental software, gathering relevant details and appropriately completing all required records ;
- Handle patient calls and inquiries regarding appointments, confirmations, changes, and cancellations;
- Returning messages in a timely manner;
- Optimizing the efficiency of the patient appointment schedule, identifying gaps in the clinical schedule and making recommendations to the Office Manager and the Regional Operations Manager overseeing the practice’s performance.
- Managing patient tracking system and ensuring accuracy for hygienists and dentists;
- Making follow-up calls to patients after treatment, as required;
- Handling patient referrals and other patient-related correspondence;
- Maintain professional and respectful relationships with patients, colleagues, and other dental and medical professionals;
- Handling patient records and e-mail correspondence in compliance with privacy and security legislation and requirements;
- Corresponding with insurance companies, including sending and receiving predeterminations;
- Collecting and receiving payments from patients and insurance companies and recording them accurately in the general ledger;
- Complying with firm policies regarding payment plans and payment collection;
- Assisting the treatment coordinator (if applicable) and office manager with additional tasks, such as communicating with patients regarding the cost of major treatment plans prior to their appointment;
- Tracking various data points and creating reports as required;
- Assisting with accounts receivable management (within practice guidelines);
- Printing and balancing end-of-day reports, including verifying that dental software end-of-day reports match POS reports;
- Making bank deposits as required.
- Understanding and complying with health and safety legal requirements;
- Participating in team meetings and contributing where appropriate.
Requirements:
- 2-3 years of related experience
- Comfortable with using a computer and dental software (Dentitech and Adstra)
- Bilingual preferred (English & French)
- Understanding of health & safety regulations related to a dental clinic
- Excellent communication and interpersonal skills
- Attentive to detail, organized and reliable
- Asset: Additional certification or training is an asset, such as Dental Assistant Certification
