Job Description
Responsibilities:
- Manage and maintain calendars for office staff, including scheduling appointments, meetings, and events
- Oversee the day-to-day operations of the office, ensuring smooth workflow and efficient processes
- Coordinate and manage office operations, including patient scheduling, insurance verification, and medical records management
- Answer and direct phone calls using multi-line phone systems, providing excellent phone etiquette and customer service
- Supervise and lead a team of office staff, providing training, guidance, and support as needed
- Perform front desk duties, including greeting visitors, handling inquiries, and managing incoming and outgoing mail
- Assist in the development and implementation of training programs for office staff to enhance skills and knowledge
- Maintain and organize files, both physical and electronic, ensuring accuracy and confidentiality
Qualifications:
- Proven experience in office administration or related field
- Knowledge of medical office management practices and procedures is highly desirable
- Proficient in using phone systems and demonstrating excellent phone etiquette
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities
- Effective communication skills, both verbal and written
- Ability to work well in a team environment and provide leadership when necessary
- Proficient in using computer software such as Microsoft Office Suite (Word, Excel, Outlook)
- Attention to detail and accuracy in completing tasks
