JOB DESCRIPTION FOR OPERATIONS SUPERVISOR
REPORTING RELATIONSHIP
This position is responsible to and reports directly to the Operations Manager.
FUNCTION
The Operations Supervisor will provide leadership, mentorship, and guidance to support workers and student placements, and ensure that the safe operation of the organization complies with organizational priorities and values. The Operations Supervisor works as a part of an Operations Supervision team.
DUTIES AND RESPONSIBILITIES
A. EMPLOYEE MANAGEMENT
· Supervises the daily operations of the Shelter House including staff and volunteer duties, attendance, and adherence to policies and procedures, performing duty inspections as necessary.
· Maintain logs to ensure team and front-line supervision communication is timely and accurate.
· Prepare monthly staff schedules for support workers and cleaners; including ensuring all shifts are filled in accordance with collective agreement and no overtime is accrued without the approval of the Operations Manager or Executive Director.
· Oversee and participate in training and orientation of new staff members.
· Mediate staff conflict as necessary.
· Support staff debriefings for critical and difficult situations, monitor staff for vicarious trauma and compassion fatigue.
· Ensure incident reports are completed, reviewed, and resolved.
· Conduct regular performance management for direct reports.
· Ensure staff timesheets are correct prior to submission to payroll.
B. CASE MANAGEMENT / RESIDENT MANAGEMENT
· Provide oversight and supervision to mediate client conflict and resident complaint process when necessary.
· Maintain updated contact information for relevant community resources.
· Support front line staff to perform system navigation support for residents and clients.
· Monitor and ensure that information contained with HIFIS database is complete and comprehensive, provide support to staff to ensure comprehensive data entry.
C. FACILITY MANAGEMENT
· Monitor health and safety, cleaning and first aid supplies to ensure they are in stock.
· Liaise with maintenance supervisor to ensure communication of maintenance issues.
· Support kitchen groups when required.
· Take every reasonable precaution to ensure the safety and well-being of staff and clients.
D. OTHER DUTIES AS ASSIGNED
QUALIFICATIONS
· Post-Secondary Diploma or Degree in a related field or comparable field experience is an asset.
· A minimum of one year experience in a support worker role (preferred).
· Strong organization and workload planning skills.
· Experience working in a unionized environment.
· Knowledge of de-escalation and / or non-violent conflict resolution.
· Strong written and oral communication skills.
· Demonstrate understanding of the complex nature of the population Shelter House serves and organization’s guiding philosophies of client-centred care, low barrier access and harm reduction.
· High level of integrity, confidentiality, and accountability.
· A well-defined sense of conflict resolution and people management skills.
· Ability to assign and delegate work, problem solve, and evaluate performance.
Job Types: Full-time, Part-time, Permanent
Part-time hours: 24-40 per week
