Job Description
The British Columbia Institute of Technology Student Association (BCITSA or ‘SA’) is a non-profit student service and advocacy organization at BCIT with a mandate to enhance student life. Our programs and services are designed to benefit and support all 48,500+ full-time and part-time students across BCIT’s five campuses. Students lead our organization and govern the affairs of the BCITSA. Our Board of Directors is composed of 12 elected Student Executives and Student Councilors from each of the different Schools at BCIT.
About the Position
The Club Program Coordinator is responsible for acting as a contact point and resource for all BCITSA sanctioned clubs. You assist with planning and executing events and initiatives, fundraising and promotions. You coordinate the start of new clubs and provide training and ongoing coaching to club executives. You act at as the go-between for the clubs and the Accounting Portfolio. You support the Vice President Student Experience and the Clubs committee; and provide guidance and administrative support to Student Chairs in the management of their respective Schools. Finally, you assist with the recruitment of student volunteers.
Responsibilities/Accountabilities
- Foster a friendly atmosphere amongst clubs and enhance collaboration with the BCITSA
- Coordinate the start of new clubs and guide students through the process
- Provide training and ongoing coaching to all club executives
- Provide guidance to clubs seeking advice, including event planning and sponsorship
- Ensure clubs are acting in accordance with policies and risk management requirements,
- especially club events; collaborate with Controller as needed
- Assist clubs with promotions, and booking rooms, equipment and catering; attend clubs events on a regular basis to ensure that organizational standards are maintained
- Develop and maintain the clubs guide; coordinate clubs storage space
- Act as the go-between for the Accounting Portfolio and all clubs
- Coordinate deposits, reimbursements, and other payments together with the Administrative Assistant
- Manage and cultivate authentic relationships with all staff, students, and key internal and external stakeholders
- Attend internal meetings, committees, and both formal & ad hoc functions, as required to increase opportunities for the department and association as a whole

You are positive, innovative, and resourceful with your abilities to provide guidance, or other tasks you are given, and you are passionate about working with motivated post-secondary students. You excel at developing relationships and understand how to support students with their learning and goals.
Experience/Skills/Education
- Degree in a related field
- One to Two years of relevant experience: experience working with student clubs or post secondary students is an asset
- Intermediate proficiency using Windows computers
- Intermediate proficiency using MS Office Suite
- Event management experience an asset
- Relationship building skills
- Financial acumen
