Position Overview:
Under minimal supervision, perform client-service and administrative duties for the Carte Wealth Management. Maintains office operations by receiving and distributing communications; maintaining supplies and equipment; picking-up and delivering items; serving customers. You will serve the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
Principal Duties and Responsibilities (Essential Functions):
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Receive and sort daily mail/deliveries/couriers
- Maintain security by following procedures and controlling access (monitor guests, issue visitor badges, etc)
- Update appointment calendars and schedule meetings/appointments
- Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
- Forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.
- Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
- Processes all actions associated with Wire Order numbers.
- Maintains office schedule by picking-up and delivering items using automobile.
- Serves customers by backing-up receptionist; answering questions; forwarding messages; confirming customer orders; keeping customers informed of order status.
- Updates job knowledge by participating in educational opportunities.
- Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Monitors, transcribes and logs all information from staff meetings.
Supervision Received:
Supervision is provided by the Carte’s Operations Manager; position requires ability to perform with minimal supervision.
Supervision Exercised:
No direct reports.
Education:
High School education or equivalent.
Experience:
A minimum of one year in customer service or hospitality industry preferred but not required.
Qualifications and Skills:
Scheduling, telephone skills, typing, documentation skills, meeting planning, verbal communication, written communication, dependability, attention to detail, administrative and writing skills. Strong interpersonal skills and ease with both telephone and in-person contacts. Strong organizational and time-management skills, including ability to handle multiple tasks simultaneously. Facility with written communication, including preparation of minutes and short documents. Proficiency in, Excel, Word, and Outlook required. Ability to perform word processing, database, and basic accounting functions. Ability to work independently.

Salary: $38,000.00-$42,000.00 per year
