Job Description
This Administrative position reports to the Patient Care Manager of the Pediatric Trauma and Surgery programs. This position supports multiple leadership members including 2 Unit Managers and 8 Surgery Nurse Practitioners. Administrative support for this leadership team is vital with ensuring timely communication and coordination of operational activities which directly affect clinical access/quality and safety. This position performs duties of a sensitive and confidential nature. Specific responsibilities include, but are not limited to, maintaining schedules, calendars, drafting, formatting, and editing presentations, correspondence, organizing meetings, preparing and circulating agendas, taking minutes at meetings and communicating to other members of the team and payroll. This position also supports key process such as, human resource management, processing financial transactions, equipment and supplies procurement and project development. The Administrative Support IV is the point of contact for the department and in many instances, dealing with other departments and programs throughout the province. The Administrative Support IV must independently identify daily priorities and ensure that improvements of administrative assistant processes are carried out as opportunities arise. The successful incumbent must be flexible and adapt to the changing needs of the program, must be reliable, have strong communication skills and be able to apply the principles of patient and family centered care into their daily interactions with the team as well as patient and family members.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Required Qualifications:Some post-secondary education.
Additional Required Qualifications:Minimum of 3 years experience in a senior administrative position within a health care-based organization. Intermediate/Advanced computer skills demonstrating proficiency in the use of software programs including but not limited to the following: Microsoft Office (Word, PowerPoint, Excel) Outlook Access (email and calendar) required. Ability to set-up and maintain filing systems including electronic filing system required. Skilled in the recording of minutes and summarizing data for distribution required. Excellent interpersonal, communication and relationship building skills. Ability to work effectively within a team environment. Ability to problem solve independently, anticipate needs and take initiative. Ability to work under pressure and handle competing and frequently changing priorities. Ability to exercise judgment, professionalism, diplomacy and discretion when dealing with sensitive and confidential issues.
Preferred Qualifications:Demonstrated competency in working on ESP, RMS, and e-People preferred. Strong understanding of the trauma and surgery programs.
