Job Description:
BC Elks Association is seeking a full-time Bookeeper/Administrative Assistant to perform a variety of clerical and administrative tasks. The ideal candidate will be able to work independently and prioritize their workload, while also being able to multitask in a fast-paced environment
Duties and Responsibilities for BC Elks Office:
- Bookkeeping for both the BC Elks Association and the Camp Society. Which includes, paying invoices, banking, bank reconciliation and keeping accounts up to date. This would also include preparing files for year end and working with the accountant as required
- Responsible for issuing receipts for donations to the Camp Society
- Responsible for fundraising program in recording cheques, checking and doing receipts and banking all cheques (Telemarketing)
- Responsible to mailing out cheques and keeping a bank account for the BC Division of the Fund for Children
- Perform general administrative duties, such as answering phone calls and emails
- Sending out letters, forms, booklets and certificates
- Updating the Constitution, By-Laws, and Regulations as required
- Ensure that the Society reports are completed after Conference each year
- Maintain a filing system for all reports and invoices
- Support the Executive/Board of Directors, committees, and Regional Directors
- Booking hotels and meeting rooms and travel arrangements for Executive members and committees
- Support for Executive Meetings, including agendas, create and distribute minutes, and provide any additional information during meetings. To attend and record all Executive/Board meetings
- Responsible for maintaining the photocopier, purchasing office supplies and supplies for meetings as required
- Responsible for janitorial services to the office
- Responsible for Conference Booklet and Proceedings Booklet following. Responsible for Agendas, providing plaques, name tags, business cards and recording the Conference. Receiving all reports related to conference and the distribution of the booklet after the conference
- Responsible for all telephone calls related to the BC Elks Association and Camp Society as well as booking all groups into camps and rapport with the Caretakers
- Responsible for recording and paying all bills for the BC Elks Association and the Camp Society, as well as all expenses by the Executive/Board, Committees and Regional Directors
- Responsible for the everyday running of an office
- Responsible for all banking for the BC Elks Association and the Camp Society
- Follow the dictates of the President of Day and what they need or require
- Public relations
- Responsible for applying for property exemptions for the camps
- Be a resource person for the members of the BC Elks Association Lodges as well as the Executive and Board of Directors
- Website updates as required
- Social media for both the BC Elks Association and the Camp Society
Job Type: Full-time
Salary: $22.00-$23.00 per hour

Ability to commute/relocate:
- Surrey, BC: reliably commute or plan to relocate before starting work (required)
Education:
- Secondary School (preferred)
Experience:
- Sage Accounting: 2 years (required)
- Bookkeeping: 5 years (preferred)
