Job Description
Reporting to the CAO. Provides day-to-day administrative support to the CAO, Corporate Leadership Team and the Emergency Control Group, by scheduling activities, preparing reports and correspondence, handling information requests, confidential information and providing support to the CAO in the areas of expense and/or revenue processing, records maintenance, information distribution, event coordination, minuting and budget preparation and monitoring.
Work Performed:
- Confidential Administrative support and scheduling coordination to the CAO in the areas of travel/conference coordination, litigation, purchasing, accounting, budget preparation and monitoring, human resources and payroll processing.
- Maintain departmental support services by answering and/or redirecting public inquiries, phone calls, e-mail and correspondence, records/file maintenance, office supply ordering and office reception from internal and external sources.
- Day-to-day and emergency event support to the Corporate Emergency Control Group including, event scheduling, minuting, correspondence, maintenance of Emergency Response Plan, emergency contact information and Operations Centre readiness.
- Coordinate activities of the CAO, and Corporate Leadership Team activities including calendar scheduling of meetings/events, special projects and preparation, monitoring and distribution of meeting agendas, minutes and related reports.
- Act as back up for the Administrative Assistant to the Mayor during absence as required.
- Comply with all workplace Health and Safety Policies and Procedures including but not limited to attend and participate in all H&S training and education activities; identify and report all H&S risks, accidents, incidents, injuries and damage and ensure all activities are carried out in a safe manner including the proper use of all assigned personal protective equipment.
- Perform other related duties as assigned.
- Additional hours outside of the regular work week, as required.
- Minimum 2-year College Diploma in Office Administration – Executive or Legal, Business Administration or equivalent education.
- Minimum 1-3 years of experience in an administrative role directly supporting Senior Leadership.
Specialized Skills, Abilities, Training, License, Memberships, or Certifications
- Knowledge of Emergency Management and Civil Protection Act.
- Commissioner of Oaths for the municipal corporation.
- Excellent written and oral comprehension and expression.
- Ability to create accessible documents.
- Strong organizational and planning skills.
- Problem Sensitivity/Resolution.
