Position Title: Office Assistant/ ID Services / Drug and Alcohol Technician
Location: Divisional Office - Whitehorse
Reports to: Client Service Manager
Status: Full-time - Non-Management (Non-Union)
Schedule: Monday to Friday 0800-1600 Excluding Stats
Wage: $27.00 per hour (plus 2.5% RRSP)
POSITION SUMMARY
The Office Admin is responsible for the maintenance of the overall flow of workplace operations. The key functions of the position are to be the central point of contact for employees and clients; administer drug and alcohol testing programs; schedule security guards.
RESPONSIBILITIES AND JOB DUTIES
- Organize and schedule appointments.
- Greet incoming visitors.
- Provide drug and alcohol testing and ID Services for referred clients, ensuring all documentation is done in accordance with policies and procedures.
- Assist with scanning documents of newly enrolled employees and issuing uniforms.
- Maintain and order substance testing supplies.
- Maintain and track uniform inventory.
- Assist Client Service Manager to ensure staffing levels at all sites are maintained with qualified and trained personnel.
- Schedule security guard shifts using TrackTic.
- Provide a clear and accurate description of work assignments to security guards.
- Receive and schedule deliveries.
- Answer incoming phone calls and emails.
- Other duties as assigned by the Client Service Manager.
REQUIRED QUALIFICATIONS/EXPERIENCE
- Post-Secondary education/training such as completion of a secretarial, office or similar administration program or a relevant combination of education and experience to be considered.
- Must be able to obtain a Yukon Security Licence, and RAIC (Restricted Area Identity Card plus full AVOP (Airside Vehicle Operator’s Permit).
- Understanding of security procedures and technologies would be considered a strong asset.
- Must successfully complete Drug and Alcohol/ ID Services training provided by CVIY and national companies such as Surhire, Cannamm, Drivercheck.
- Excellent time management and organizational skills, including the ability to multi-task, prioritize work, work well under pressure, and meet deadlines.
- Must display a strong work ethic and work effectively in a team setting.
- Must maintain a high level of confidentiality.
- Must be detail oriented, proactive and strive for quality work for superior customer service.
- Have excellent problem-solving and analytical skills with both individuals and in group situations.
- Have good interpersonal skills and ability to maintain good working relationships with management, supervisors, employees, and union officials.
- Have effective oral communication skills, including the ability to listen and display empathy.
- Have effective written communications skills, including the ability to write correspondence and succinct reports.
- Have excellent computer skills, including the ability to prepare documents using Microsoft Office Suite applications (MS Word, Excel, Outlook) and TrackTic.
