Job DescriptionRole and Responsibilities
- Purpose of the position: To support the Local 4000 with efficient co-ordination and performance of clerical and secretarial duties.
- Provides reception and receives visitors.
- Answers telephone and records/reports messages as required.
- Receives / sort and distribute all mail and emails.
- Directs all member inquiries to appropriate Union officer.
- Booking meetings for members when necessary –may include contacting parties involved in scheduled or cancelled meetings excluding anything pertaining to grievances as this is covered in another section.
- Monitor cancellations.
- Assisting if needed schedules for the local President, 1stVice President, Treasurer and/or Chief Steward
- Refer all Hall Rental inquiries, as required, to Treasurer when they are reachable or other officers who are in the office.
- Data entry and retrieval
- Maintains all files for members of CUPE Local 4000
- Maintains/Collation of accurate multiple data bases (examples: return to work/grievances/successful candidate lists/ union leave/current list of Local Executives/Stewards/pagers)
- Ordering of office supplies as required/directed.
- Sending Union leave requests.
- Make photocopies as requested or required for members.
- Faxing as needed
- Printing of correspondence as needed.
- Reporting malfunctioning equipment to appropriate officer and take direction.
- Assisting officers of the Local with minor issues, as related to clerical duties.
- Emailing information as requested
- Preparation and mailing of gift packages to retired members, after receiving confirmation from HR/TOH on monthly report.
- Creating new grievance files, including submitting forms to Employers with grievance number, and date submitted
- Maintaining open grievance files with all new information, meetings, etc.
- Contacting members to advise of their Step 2 meetings and rescheduling as needed.
- Forwarding Union responses to the Employers within specified timelines
- Scanning and emailing of grievance files to be sent to Legal Advisor and/or National Reps, as requested.
- Forward all requests from Legal Advisor and/or National Rep(s) to Executive Chief Steward
- Closure of grievance files – including forwarding correspondence to members and Employers
- Perform other related duties as assigned
Qualifications and Education Requirements
Secondary School (up to Grade 12)
Six months recent experience in high paced office environment
Data entry skills-Intermediate to Advance (4000kph min.)
Keyboarding – Intermediate to Advance (60wpm min.)
Computer word processing skills – Intermediate to Advance
Excel – Intermediate to Advance
Proficiency in English (oral expression and comprehension at intermediate to advance level)
Preferred - Proficiency in French (oral expression and comprehension at intermediate to advance level)
Ability to
Good communication skills in both official languages written and oral
Good organizational skills
Working independently
Ability to prioritize without supervision.
Maintaining confidentiality
Excellent coordinating/multitasking skills
Use Microsoft Office Suite, Internet search engines and learn new software
