WHAT'S THE JOB?
The Administrative Assistant will be required to perform an array of administrative duties including clerical and receptionist duties. Reporting to the Director of Operational Support this role is an integral part of maintaining office operations in the Edmonton Office. The Administrative Assistant is the gatekeeper for all Office Operations including Liaoning with Property Managers. This role is a fulltime in office role at our Edmonton office 9808 12 Ave SW.
- Provide administrative support to President and Vice President
- Manage Corporate Credit Card
- Managing Purchase Orders for Edmonton Office
- Courteously receive and screen all in-bound emails, and visitors;
- Coordinate office activities and luncheons;
- Review, evaluate and distribute all incoming and outgoing mail;
- Prepare and receive Purolator packages
- Support President in managing daily activities
- Maintain and monitor office supply inventory levels and place orders as required;
- Prepare travel arrangements with a keen attention to detail, where necessary.
- Manage and coordinate the scheduling of Monthly Leadership Meetings
- Complete a daily Lodge Summary report
- Take minutes for monthly meetings when required.
- Prepare correspondence, reports, presentations and other documentation as required.
- Organize and maintain filing systems;
- Liaison between vendors and contractors; i.e. building maintenance
- Ensure Office is well maintained
- Responsible for being the Office Safety Warden and keeping Safety policies and procedures up to date;
Qualifications
WHO ARE WE LOOKING FOR?
Must have an educational background normally equivalent to high school.
Diploma or degree (or equivalent) from an accredited university or college in Business Administration is an asset.
- Proficient in use of various office-based software including the Microsoft Office and Excel
- Maintain a high level of confidentiality in all interactions
- Manual dexterity required to use desktop computer and peripherals.
- Ability to conduct and attend presentations.
- Ability to perform effectively in both an independent and team setting.
- Adaptable to change.
- Demonstrates initiative to be proactive.
- Ability to effectively manage fluctuating workloads and adjust priorities to meet changing deadlines.
- Excellent written and verbal communication skills.
- Exceptional organizational skills.
- Strong customer service and interpersonal skills and the ability to build relationships with others.
