ROLES AND RESPONSIBILITIES
The Senior Administrative Assistant is a highly confidential position providing support to Executive Team Members within the Envirosearch Management Team. The Senior Administrative Assistant is expected to demonstrate routine application of the essential duties and responsibilities. Roles and responsibilities will include:
- Preparation of on-going briefing notes including management of action items.
- Manage information flow in a timely and accurate manner.
- Read, research, and rout correspondence requiring attention to Executive Team Member for triage of appropriate response. Manages communications by addressing inquiries and responding to official communications as appropriate.
- Track assigned tasks through Teams, Email, and D365 requiring follow-up and maintain on-going status list. Coordinate with Executive Team Member to manage items that may represent an at-risk situation.
- Know the tasks completed by the Executive Team Member and complete work orders and time entries capturing daily effort.
- Maintain a planning calendar outlining matters to be on the VP’s agenda. Follow-up where necessary.
- Maintain a list of pending work and assist Executive Team Member with on-going prioritization.
- Planning meetings including preparation of agendas, documentation of meetings, and production of meeting minutes.
- Act as a point of contact among Team Members, Clients, and other External Partners.
- Draft letters and documents to support Executive Team Member.
- Prepare reports by collecting and analyzing information.
- Manage the VP’s schedule by planning and scheduling meetings, conferences, teleconferences, and travel as may be required.
- Respond to inquiries providing necessary information and redirecting calls.
- Maintain confidence and protects operations by keeping information confidential.
- Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
- Other duties as assigned.
QUALIFICATIONS
- Two to five years of experience in a related role.
- High level of skills with Microsoft Office (Outlook, Excel, Work).
- Strong scheduling and planning skills with the ability to make future projections.
- Must be able to work independently with little supervision and be able to work quickly with high accuracy.
- The ability to efficiently multi-task in a fast-paced environment.
- Strong written and verbal communication skills, along with active listening.
- Excellent interpersonal skills with the ability to work collaboratively and diligently with individuals.
- Positive, responsible, and self-motivated with demonstrated organizational skills.
- Valid G driver’s license in good standing.
