Position Title: Administrative Assistant
Status: FT Admin (Temp) 1-year contract
Hours: 37.5 hrs/week
Faculty/Department: Faculty of Liberal Arts & Sciences
Campus/Location: North and Lakeshore Campuses
Salary: $50,549 - $75,823
What you will do:
- Under the direction of the Associate Director, Operations, Faculty of Liberal Arts & Sciences (FLAS), the Administrative Assistant is responsible for:
- Ensuring the smooth and efficient operations of the FLAS offices, including the promotion and maintenance of a high level of service to staff, professors, students, and external stakeholder;
- Planning and organizing Faculty-wide events;
- Providing financial support to the Faculty including annual budget development, quarterly forecasting and day-to-day financial operations;
- Provisioning confidential administrative support for the leadership team, including participating in strategic and development for the Faculty;
- Maintaining excellent internal and external communications with all stakeholders by fulfilling a public relations role for the Faculty and acting as the main point of contact.
What you bring to the role:
Education:
The successful candidate will have a minimum of a post-secondary diploma in business administration, management, communications, human resources, finance, or other relevant field.
Experience/Skills:
The incumbent will have a minimum of 3 years of administrative experience, preferably within a post-secondary education environment. The successful candidate must also demonstrate the following:
- Ability to generate reports and analyze data to assist the FLAS leadership team in decision-making;
- Excellent verbal and written communication skills, including the ability to develop presentations, write newsletters, draft reports, create correspondence for internal and external stakeholders, engage in cross-cultural communication, and capture minutes;
- Strong organizational skills, including the ability to manage competing priorities, support multiple committees and subcommittees, and meet institutional deadlines;
- Excellent time management skills;
- Ability to work both collaboratively and independently;
- Good working knowledge of Ontario college community infrastructure;
- Experience in the management and supervision of office staff in a unionized environment;
- Excellent skills in operational management, team building, client service and conflict resolution;
- Experience working with financial processes, budgets, financial controls and accounting processes;
