LOCATION
Located approximately 100 kilometres east of Toronto, NHH is a vibrant community hospital delivering a broad range of acute, post-acute, outpatient and diagnostic services. Directly serving a growing population of more than 60,000 residents spread across a mix of urban and rural settings, NHH directly employs approximately 750 people and relies on the additional support provided by a highly engaged and supportive network of physicians, midwives and volunteers.
ROLE OVERVIEW
Reporting to the VP, Integrated Care, and CNE, the Administrative Assistant will provide timely and accurate administrative support, is a representative of the organization, which includes demonstrative support of it’s strategic plan, and values. The incumbent will possess the ability to communicate with others at various levels and positions, develop and maintain positive relationships within NHH (Northumberland Hills Hospital). It is essential that the Administrative Assistant have exceptional interpersonal skills to facilitate and support requests from the Public, Board of Directors, Community and Academic partners, the Foundation, NHH staff, leaders, and Physicians. This role requires the ability to work independently with creativity and initiative and as a team member.
QUALIFICATIONS/REQUIREMENTS
- Completion of a relevant post-secondary program in Medical Office Administration and/or equivalent
- Minimum of 3 years, recently working in a similar environment, providing progressive administrative support at a senior or executive level in healthcare
- Strong written, oral communication and analytical skills
- Strong and effective interpersonal skills
- The ability to work independently, as well an effective, contributory team member
- Experience maintaining physical and electronic filing systems for record retention requirements, adhering to corporate policies
- Excellent organizational and time management skills
- Current knowledge of and advanced experience in Microsoft 365 including Word, Excel, PowerPoint, MS teams and SharePoint, Microsoft Exchange, Visio and document management systems is required
- Proven decision making and problem solving skills
- Strong organizational and project management skills
- Perform with high integrity and transparency
- Demonstrated ability to analyze data and write reports
- Ability to work with minimal supervision, take initiative and manage competing deadlines in a fast-paced environment
- Proven commitment to providing exceptional customer service combined with a positive work performance attendance record
- Demonstrated commitment to the Northumberland Hills Hospital Strategic Plan and Core Values
ASSETS
- Experience working in, and familiarity with, Board governance would be considered an asset
- Experience inputting payroll coding, processing invoices and assigning accurate functional centre payments and references
- Proven project management experience in a healthcare related field
EMPLOYMENT REQUIREMENTS
Successful applicants are required provide a satisfactory vulnerable sector criminal reference check, that was complete less than one year from the date of hire. This requirement must be met within the first sixty (60) days of employment.
Additionally, to the above, successful applicants are also required to complete the Health Care Worker Health review process which includes providing an up-to-date immunization record to ensure compliance with the Ontario Hospital Association Communicable Diseases Surveillance Protocols within the first thirty (30) days of employment. Northumberland Hills Hospital operates a mandatory COVID-19 vaccination policy for all staff.
