Position Summary
Provide high-level administrative support to executives by preparing reports, handling information requests, and any ad hoc requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Duties/Responsibilities
- Provide assistance to executives, including but not limited to, managing and maintaining schedules, managing all travel arrangements, and submitting expense reports for reimbursement.
- Prepare reports, memos, letters, statements, presentations, and other documents, using Microsoft Office Suite.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Attend meetings to record minutes, as well as compile, transcribe, and distribute minutes to all necessary parties.
- Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
- Open, read, route, and distribute incoming mail or other materials and answer routine letters.
- Perform general office duties, such as ordering supplies, coordinating with building management, outgoing mail etc.
- Set up and oversee administrative policies and procedures for offices or organizations.
- Provide clerical support to other departments.
- Some travel required to manage and coordinate offsite meetings.
- Other related duties as assigned.
Required Skills/Abilities
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Ability to operate general office equipment.
- Extremely proficient with Microsoft Office Suite including PowerPoint and Excel with the ability to learn new or updated software.
Education and Experience
- Diploma or Certificate in Office Administration or related field.
- Previous experience required.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
