You will be an instrumental member of the team, responsible for coordinating efficient document and administrative processes and procedures, office management coordination, and managing the calendars and schedules of the Executive Management team. You will also be managing the necessary privacy and security surrounding all company information and assets, and assisting to foster a strong working relationship with our stakeholders and amongst our team! Document coordination and management, and significant executive level scheduling, calendar management experience, appointment scheduling, and other executive assistant type personal coordination duties, are critical skills to being successful in this position (a project management or legal background has been successful). Along with a winning attitude and a love of order, organization, and efficiency, you are dependable, reliable, and while you can work independently, you are also a team player. Here’s a few of the finer points that you also bring to the table:
Education, Training, and Experience
- A relevant college or university degree, diploma, certificate, or training
- At least 5 years of previous administrative experience
- Commercial office real estate work experience is a bonus!
You’re also innately…
- An excellent communicator, written and oral, in the English language – you understand that different people work best with different communication styles, and are adaptable!
- Well above average in your Microsoft Outlook Word and strong familiarity with Excel and PowerPoint, and are seriously tech-inclined (you will help us roll out a brand new CRM system!)
- A people person who is energized by day to interactions and thrives on a swift pace of business
- A team player who is agile and has the ability to pivot your focus without losing focus
- Able to pay high attention to detail under time constraints and tight deadlines
- Reliable, punctual, and take initiative; you’re not afraid to wear many hats
- Professional and able to practice discretion with highly sensitive information (we can’t stress the importance of this one enough!)
- Legally able to work in Canada
- Able to pass a Criminal Record Check and Educational Check
What your day to day might include
- Scheduling meetings and coordinating work travel for the Executive Management team
- Providing up-to-date document outstanding list to the underwriting team on a timely basis
- Monitor deadlines and provide notices to appropriate parties when necessary – you are going to keep us humming along, on-time and on-task!
- Schedule necessary appointments with all parties as required
- Prepare and distribute correspondence as required
- General administrative duties in including liaising with third parties and clients, data entry, phone and email, and other customer facing services
- Decide on the most logical and accessible place to file and classify each document, maintain the record index for each system, and insert documents into the appropriate location
- Maintain various records management systems and verify they are accurate and current by reviewing and interpreting each document.
- Complete close out packages and internal checklists within a timely manner
- Update and maintain external business partner list including third-party and service providers
- Analyze and structure appropriate metadata to maintain corporate records in accordance with corporate policies
- Coordinating document progress and submission amongst our team
- Prepare reports to demonstrate historical trends (vacancy, operating history)
