RESEARCH ADMINISTRATIVE COORDINATOR
Department of Critical Care Medicine Research Division
The Administrative Coordinator of Research, Department of Critical Care Medicine (DCCM) with senior level experience will provide direct administrative support to the Research Division. The Administrative Coordinator will act as the central resource for the section and be the communication link within the Division.
Here’s What You’ll Get to Do:
- Provide administrative support to the Research Director, Research Manager, Clinician Scientist physicians and other team members of the Research Division
- Grant application preparation support, including CV preparation and oversight, online submissions, support letter formatting, scheduling peer reviews
- Human Resources functions support, including assisting in the onboarding of research staff and students
- Assisting with the production of Divisional Annual Research Report, including the oversight and coordination of regular entries from other administrative staff of the DCCM
- Finance systems support: monthly expense reconciliation, and procurement processes entries
- Organizing and Managing Educational and Operational meetings (scheduling, minute taking and distribution of material)
- Calendar management - schedule/confirm appointments for staff using judgment to reschedule or book appointments according to changing priorities
Here’s What You’ll Need
- Business or administrative degree/post-diploma program
- Minimum of 3-5 years of senior administrative experience either in a hospital or university setting
- Proficient with PC computers and the Microsoft Office suite of applications (Outlook, Microsoft TEAMS, Word, Excel, PowerPoint)
- Familiarity with data entry using online databases used for tracking of publications, citation reporting, CME tabulation, and CV building
- Familiarity with online PubMed searches + maintaining citation manager databases is an asset
- Experience with recording and transcribing of minutes is an asset
- Team player with excellent interpersonal and communication skills
- Demonstrated high level of judgment, tact, and diplomacy in interacting with a wide variety of staff members
- Ability to handle a fast-paced, busy work environment with many interruptions and competing priorities
- Exceptional organizational skills and ability to manage activities both for yourself and for others effectively
