Office Coordinator
Heffley Creek, Kamloops BC

We are looking for permanent full-time Administrative Assistant, Receptionist/Office Coordinator to join our Heffley Creek division out of Kamloops. This position will be responsible for welcoming visitors, coordinating meetings, appointments and various administrative projects. As an essential member of our team, the Office Coordinator will have a significant role in our office management along with various other responsibilities, including data entry, filing, building new hire packages for hourly onboarding, ordering office supplies and lunches, employee inquires and other challenges as they arise.
Duties and Responsibilities:
- Greeting visitors/guests as they come into the office - checking guests IN / OUT
- Organize and coordinate on site events such as National Truth and Reconciliation Day, employee events, tours of the facility for various guests
- Organize and coordinate off site events, such as winter holiday celebrations
- Answering all incoming calls, emails, and in-person inquiries and forwarding them to the appropriate parties
- Building new hire binders
- Assisting and owning data entry and database maintenance for Health and Safety, Supervisors/Superintendents
- Receiving, sorting, and distributing mail
- Coordinating outgoing mail and incoming/outgoing courier services
- Filing and organizing paper and electronic documents, such as emails, invoices, reports, and other administrative records
- Ensuring reception and other common areas are clean and organized
- Arranging for repair and maintenance of office equipment ordering supplies and maintaining inventory, replacing materials and equipment as needed or instructed
- Providing clerical and administrative support to various teams, when required
- Scheduling appointments and meetings, ordering and picking up lunch's for meetings when required
- Ensuring our office is well organized and all office and kitchen supplies are properly stocked
- Responsible for the company's promotional material. Ensure items are ordered seasonally based on business demands, client requests and company events.
- Responsible for the receiving and coordinating of long service awards
- Coordination of on site services, such as landscaping, snow removal, janitor, telephone and alarm
- Other miscellaneous duties and special projects as assigned
- This position may involve back up/vacation coverage for:
- hourly payroll & data entry
- benefits set up/ coordination for hourly payroll
- accounts payable and receivable date entry
- confidential filing
What We’re Looking For:
- 2-5 years experience in an Administrative or Executive Assistant type roles
- Superior level of customer service and interpersonal skills
- Skilled in accurate and timely data entry and the MS Office suite of software products
- Ability to learn quickly and grasp new concepts
- Strong organizational, communication and time management skills with the ability to work with constant interruptions
- Ability to work independently and as part of a team
- Knowledge of the Industry considered an asset
