PURPOSE OF POSITION
As part of the Destination Management division, the Destination Development & Stewardship team drives partner engagement and development through leading and supporting the creation and implementation of long-term, sustainable development strategies for areas, regions, and routes across the province. These strategies and actions are focused on enhancing tourism experiences, businesses, and jobs, amplifying the benefits of tourism to local communities, developing emerging sectors, like Indigenous tourism, while elevating British Columbia’s competitiveness as a destination for travel and investment.
The Coordinator maintains strong, professional working relationships with Destination BC’s colleagues and contractors, and directly engages with communities, regions, industry and government partners to facilitate collaboration on destination development or stewardship projects and initiatives. Under direction of the Manager, the Coordinator is responsible for updating the unit’s financial and administrative systems and processes, maintaining and improving internal databases, coordinating meetings and workshops, and communicating on projects and initiatives to a variety of internal and external audiences.
Success in either one of these roles requires experience in building effective relationships, solid organizational and coordinating skills, attention to detail and strong communication skills.
SPECIFIC ACCOUNTABILITIES
- Provide information and advice to the tourism industry, communities and other partners on Destination BC programs and activities in relation to destination development or stewardship, resources and grant/funding inquiries;
- Carry out planning, implementation, and delivery of assigned portions of a project as a formal project team member; support colleagues in development of formal project documentation (e.g., project brief, project charter, status reports, timelines/Gantt charts, budget trackers, etc.);
- Collaborate with key internal and external business partners (e.g., regional destination management organizations (RDMOs), Ministry of Tourism, Arts, Culture and Sport (TACS), Indigenous Tourism BC (ITBC), community DMOs, sector groups and others) as required to provide updates, gather input, and execute projects and initiatives;
- Manage and improves a variety of internal databases and tracking sheets, and regularly report program activity and results to internal and external partners;
- Coordinate and organize in-person and virtual workshops, events and seminars throughout the province;
- Enhance complex relationships and partnerships between Destination BC, Indigenous and non-Indigenous communities, regions, sectors and various levels of government and play a leadership and facilitating role, advancing partners into and throughout destination development projects and initiatives;
- Provide input into the design of destination development or stewardship programs, as well as advice and guidance to communities, tourism businesses and organizations during the development and implementation of destination development or stewardship strategies and projects to ensure achievement of provincial goals and objectives;
- Liaise with other Destination BC teams to make them aware of opportunities and issues arising from destination development or stewardship projects;
- Coordinate and provide feedback and direction to external contractors and/or internal teams on specific projects and initiatives;
- Assist with preparing and tracking contracts ensuring compliance with deliverables and terms and conditions;
- Monitor budgets, prepare recurring financial reports, process invoices and apply appropriate coding and credit card reconciliations and travel expenses;
- Assist the Manager with quarterly financial reporting & annual business planning processes;
- Provide support on procurement processes, including Requests for Proposals and Requests for Qualifications;
- Identify improvements and best practices for future initiatives based on outcomes of post-project and program evaluations to ensure learning initiatives are effective and achieve desired results. Proactively identify and act on opportunities to improve processes, procedures, and documentation for the unit;
- Attend and participate in Destination BC industry events and planning meetings with key partners including First Nations and other Indigenous partners, elected and community officials, government partners, Destination Management and Marketing organizations, tourism businesses and others;
- Provide support as required on corporate and divisional projects and program priorities;
- Other related duties as required.
JOB REQUIREMENTS
- Post-secondary diploma in tourism management, business administration or similar field, with a minimum of 3 years’ relevant experience; or an equivalent combination of education and experience. Formal education or professional experience in a tourism-related field is considered an asset;
- Minimum of 2 years’ experience in partner relationship development;
- Minimum of 2 years’ experience in logistics/planning/organization of meetings, workshops and events;
- Minimum of 2 years’ experience in project management. Formal training or education in project management methods and tools is considered an asset;
- Proficiency with desktop applications such as Word, Excel, PowerPoint, Teams, Zoom, CRM and database systems (e.g., SalesForce);
- Demonstrated excellent communication skills;
- Proven experience coordinating contracts and financial administration, including invoicing, tracking and reporting on budgets, and supporting contractor relationships;
- Demonstrated experience in preparing presentations and written reports.
