Job Summary
The Executive Assistant reports and provides logistical support to the CEO, ensuring the installation of appropriate systems and tools for the organization’s success. Specifically, the position is responsible for assisting the CEO, providing executive level administrative support by providing clerical support, receiving ATC members and visitors, arranging travel and correspondence, and scheduling meetings and events. May also be responsible for training and supervising clerical staff, act as a role model, and leading by example, the EA is expected to take extra mile and provide support to the entire organization when required.
Duties and Responsibilities
- Provides comprehensive support services: calendar management, prioritizing inquiries, troubleshooting issues, maintain CEOs schedule, booking travel, making and updating appointments, and other activities.
- Opening, sorting, and distributing correspondence, including email, faxes, and snail mail that addressed to the CEO.
- Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
- Prepare reports, take meeting minutes, collect and analyze information; prepare presentations.
- Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes.
- Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data, and other functions.
- Train staff on using Microsoft Office when needed.
- Prepare executive responses to routine memos, letters, or correspondence.
- Provide clerical and general office support to front desk, other Department’s admin support when needed.
- Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
- Coordinates administrative activities and provides coverage of administrative assistant/front reception.
- Coordinates preparation of monthly Board of Directors meeting agendas. C
- Records minutes at the Board of Director’s meetings and types up minutes for Board approval and in a timely distribution to all Board members.
- Manage other administrative tasks as required and directed by ATC CEO.
Qualifications and Skills
- Admin Assistant Diploma or B.S. in Management or related field
- 5+ years administrative support or executive assistance
- Advanced MS Office experience
- High level of organization skills. Must be adept at using databases, spreadsheets, report writing, project management, graphics work processing, presentation creation/editing
- Strong verbal and written communication skills. Ability to speak Dene or Cree an asset.
Requirements:
- Ability to work occasional evening and weekend hours, as business needs require.
- Criminal Record Check with Vulnerable Sector Check.
- Intervention Record Check.
- Reliable transportation to the office.
- Must possess a valid Driver’s License and clean drivers abstract.
