JOB OVERVIEW
The Executive Assistant performs a range of administrative and project management duties to facilitate effective operation of the Vice President Cancer Support Programs and Services by providing executive-level administrative support.
WHAT YOU’LL BE DOING:
- Maintain VP’s schedule, including calendar management, travel and logistics.
- Maintain shared/delegated email inbox prioritizing action items, and follow-ups
- Demonstrate proactive Email management and will be relied on to send replies on behalf of the VP
- Proactively manage VP’s time management, due dates, and reminders using advanced technology tools
- Anticipates support needs and proactively manages with VP
- Lead Microsoft Teams meetings: send invitations, manage participants, take minutes and record meeting, control all aspects of presentation, manage chat, share files and multimedia during meeting and manage action items.
- Prepare background materials in advance of meetings, and proactively identify and escalate conflicts as appropriate.
- Assist with meetings including scheduling, handling logistics, preparing an agenda, and sending materials for review prior to the meetings. This includes compiling presentations, preparing meeting notes and maintaining action items list with follow up to ensure completion.
- Provide a wide range of other administrative support, including drafting and editing correspondence, managing files and digital dashboards, etc.
- Review and processes expense claims in accordance with established policies and procedures and prepares credit card reconciliation.
- Establish and maintain confidential files and records.
- Edits and writes documents and presentations using Word, Excel and PowerPoint, as needed.

- Other duties and projects as assigned.
WHAT WE ARE LOOKING FOR:
- Post-secondary education in any transferable field of study
- Demonstrated experience working alongside and providing excellence in administrative and project management support to executives
- Proficient in advanced collaboration tools in MS Teams, OneNote, MS To Do, Smartsheets, Project, and SharePoint
- Ability to thrive in a fast-paced, hybrid environment
- Tech-savvy with superior organizational and time management skills
- Exceptional interpersonal skills, ability to build strong working relationships and interact with internal and external stakeholders at all levels of the organization
- Strong work ethic, ability to exercise discretion, demonstrates initiative, and works independently and in a team to do what it takes to get the work done
- Strong written and verbal communication skills
- Familiar with online/cloud based/SharePoint document sharing/ editing/ permissions, etc.
- Basic understanding of cancer support programming and experiences
- Advanced proficiency with MS Office Suite, including Word, Excel, PowerPoint, and Outlook
- Experience with hybrid team building; creating social events and other ways to collaborate for team members in both virtual and in-person settings.
- Previous experience creating surveys using web-based tools
- Familiarity of Salesforce is considered an asset
- Previous experience with event management and/or project management is an asset
