The Opportunity
We are currently looking to hire an Executive Assistant (EA) to Support our President and Senior Leadership Team in Edmonton, AB. This opportunity will be a full-time permanent position and is ideal for an experienced administrative professional.
We are seeking a highly organized and efficient individual to join our team as an EA with additional Personal Assistant responsibilities. This position requires a proactive and adaptable professional who can seamlessly manage both executive-level support and personal tasks. As the EA with Personal Assistant responsibilities, you will play a pivotal role in facilitating the smooth functioning of our executive's professional and personal life.
Specific accountabilities include:
Executive Support:
- Provide comprehensive administrative support to the SLT, including calendar management, managing emails, scheduling meetings, and organizing travel.
- Prioritize and manage correspondence, emails, and phone calls, ensuring timely responses and accurate message relay.
- Prepare and review documents, presentations, reports, and other materials for meetings and presentations.
- Conduct research, compile data, and prepare briefing materials for meetings/projects.
- Take minutes at various meetings when requested by the SLT.
- Assist in the coordination and execution of special projects and events.
Communication and Liaison:
- Act as the primary point of contact between the SLT and other stakeholders, maintaining a professional and approachable demeanor.
- Screen incoming calls, emails, and messages, prioritizing/relaying important information.
- Coordinate and facilitate communication and follow-up on behalf of the SLT.
Organization and Efficiency:
- Streamline administrative processes and implement systems to enhance efficiency.
- Anticipate SLT’s needs and proactively address any potential issues.
- Maintain an organized filing system, both physically and digitally.
- Track and manage deadlines, ensuring timely completion of projects and deliverables.
Personal Assistance:
- Manage personal appointments and calendars and coordinate family schedules.
- Arrange personal travel, accommodation, and transportation logistics.
- Handle personal errands/tasks, such as gift shopping, bookings, and personal correspondence.
- Assist with personal finances, expense tracking, and bill payments.
- Maintain confidentiality and handle sensitive personal information with discretion.
Your Qualifications
We are looking for an enthusiastic and energetic Executive Assistant who can streamline the admin function, effectively communicate timely and accurate information to key stakeholders, deal with changing priorities on the fly, and can solve tough problems.
You possess the following education, experience, and skills:
- Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-Suite level executives.
- You have post-secondary education specializing in Administration, Office Admin, or Business.
- The ideal candidate is proficient in MS Office programs and proficient in using productivity tools and software such as calendar management systems and virtual meeting platforms.
- Exceptional organizational skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, with a high level of professionalism.
- Strong attention to detail and the ability to maintain confidentiality.
- Ability to adapt quickly to changing priorities and work well under pressure.
- Ability to build relationships with executive management using solid interpersonal skills.
- Flexibility to work outside of regular business hours when necessary.
- Discretion and ability to handle sensitive and confidential information appropriately.
- A proactive and resourceful approach to problem-solving.
