Executive AssistantConnor, Clark & Lunn Private CapitalVancouver, BCWe are looking for an Executive Assistant to support our Leadership Team. This is a fantastic opportunity for an individual looking to advance their career with a fast-paced, entrepreneurial firm.What You Will DoThe Executive Assistant is responsible for providing administrative and organizational support to our three Managing Directors.
- Proactive calendar management, own and drive all calendar and meeting schedules (manage scheduling conflicts, send invitations, organize meetings etc.).
- Extensive calendar rescheduling and conflict management under tight timelines.
- Coordinate internal and external meetings including space bookings, catering, A/V requirement, etc., and ensure everything runs smoothly on various time zones.
- Meeting notetaking as required.
- Work closely with the Event Specialist and Communications team to plan and execute key off-site and larger group meetings or Managing Director attendance at such meetings.
- Be the point of contact with HR for all People & Culture initiatives for the firm and assist with execution of communications and events.
- Liaise with corporate travel agents to coordinate end-to-end travel needs, including booking all travel and hotels, directions, commuting time, ground transportation, restaurants and ensuring itineraries are kept up to date with details in their respective calendars.
- Maintain and respect personal and confidential information i.e., valid passports, driver’s license, Aeroplan numbers, credit cards etc. on file.
- Coordinate with the legal team on general signature requirements.
- Develop executive presentations, consolidate, and generate reports as required.
- Ensure timely processing of benefits claims and expenses through Concur.
- Represent the leaders with professionalism and confidence in both verbal and written communications internally and externally.
What You Bring- A minimum of 5-7 years’ experience in a similar position.
- A Degree or Diploma in a related field.
- Ability to travel within North America to corporate functions with MDs.
- Must be proficient in Microsoft Office Suite. Knowledge of DocuSign and Concur are an asset.
- Meticulous eye for detail and accuracy.
- Ability to maintain multiple task lists, action items, files, and organization of multiple projects simultaneously.
- Strong calendaring, organization, time management and prioritization skills.
- Proven ability to build strong partnerships.
- Ability to operate independently with minimal supervision and shows appropriate judgement when making decisions.
- Ability to create strong relationships across the organization.
- Demonstrate creative thinking and proactively identify opportunities for improvement.
