Position Description:
Reporting to the Manager of Operations, in the President’s Office the Executive Assistant & Board of Governors Administrator is responsible for providing administrative level support to the Manager of Operations, President’s Office and the Board of Governors. As Board Administrator, the incumbent works with the Secretary of the Board to provide executive support to the Board of Governors and to liaise between administration, staff, the community, and the Board of Governors.
Key responsibilities:
Schedules internal and external appointments for the President and President’s Office ensuring that the president’s appointments and commitments align with the President’s goals and the colleges’ strategy.
- Prepares and organizes the President for meetings (external and internal), anticipates tasks/issues that may require additional supporting documentation and ensures its availability. Guarantees the calendar is always current with precise and thorough details for all scheduled activities.
- Participates, coordinates and manages events, projects and other work related to the President’s Office and Office of the President as assigned; liaises with external partners and organizations, manages event coordination including invitations and RSVPs, catering, travel and budget arrangements; all in accordance with College policies and broader public service directives.
- Provides administrative support to Operations Manager, President’s Office, and several committees and meetings including Senior Management Committee and College Council.
- Coordinates travel arrangements and expense reports; including accommodation and conference registration, itinerary, meetings and other special arrangements for the Operations Manager, President’s Office, and the President.
- In coordination with the Secretary of the Board,
- Provides administrative support to the Chair and Board by coordinating and preparing Board materials and presentations. This includes collecting, collating, formatting, and distributing Board Materials, including but not limited to the committees of Executive and Governance.
- Prepares individual Board and Board Committee meeting agendas, this refers to but is not limited to the full Board of Governors, Governance Committee and Executive Committee.
- Attends meetings and prepares official Board and Committee minutes in an unbiased, transparent, and meaningful way.
- Administers the public College Board website ensuring transparency of decisions and creates and updates public content.
- Implements and maintains the Board of Governors portal, acting as one of the system administrators.
- Other related duties as assigned.
Educational and Experience requirements:
Three-year Diploma or Degree from a recognized post-secondary institution, in Business Administration or an equivalent.
- A minimum of five years’ progressive experience in an administrative role, in an environment where diverse people and situations are encountered daily; experience in a senior management or executive environment would be an asset.
- Previous project and event management/coordination and budget management experience required.
- Demonstrated familiarity with managing broad ranging, sensitive issues, understanding their implications and developing practical solutions to address them.
- Experience in dealing effectively with community members, stakeholders, staff, and students with sensitivity to issues of diversity.
- Experience with board protocols, policies, by-laws, governance, and related legislation.
- Prior government experience an asset.
- Progressive administrative, financial and project management experience in a large, complex preferably unionized environment.
- Knowledge of the College policies, operations, and organizational structure is highly desirable.
Skills and Attributes:
Highly developed computer skills including demonstrated experience in a wide range of software applications to produce correspondence, reports, etc. and electronic administrative systems (voice mail, email etc.).
- Microsoft Office computer skills with expertise in Teams, Word, Excel and Power Point and the initiative to use emerging technologies is required.
- Excellent problem-solving, analytical, and conflict resolution skills are required.
- Highly developed organizational skills and proven ability to prioritize competing deadlines.
- Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experience, and styles with tact.
- Excellent customer service, interpersonal, communication (oral and written) skills with the ability to develop positive working relations across multiple business units.
- Able to deliver high quality documentation paying attention to detail in the environment of tight timelines is required.
- Demonstrated leadership in delivering excellent service to others as this is key in supporting the success of our students and our College.
- Solid collaboration and teamwork skills.
- Flexibility in adapting to change and in participating in consultative decision-making processes.
- Willingness to work extended hours periodically as required.
Interview process may consist of a practical skills component.
