Part Time throughout the summer with the opportunity to move to full time in the fall
EXECUTIVE ASSISTANT
Under the direction of the Director, the Executive Assistant will work closely with the Director and other teams across many projects underway with the company. This position can be a work from home position and if necessary, office space can be provided. The hours will fall within working hours Monday to Friday; 9am to 5pm, with potential for travel to project sites. The ideal candidate is extremely organized and is proficient in all office software. Responsibilities are noted below which will include but are not limited to:
Main Tasks and Responsibilities:
- Be first point of contact for referrals, initial email consultations and potential clients;
- Book, manage and maintain online (Zoom/MSTeams/Google Meet) and in person meetings and manage all minutes for multiple meetings (Otter.ai);
- Calendar management(google/calendly/MS Office); ensure up to date and scheduled correctly;
- Filter and sort email for Director’s review and action;
- Tracking tasks for projects and assigning on a daily basis as required (Asana);
- Update and process finances (QB Online) in support of the Financial Officers on a daily, weekly and monthly basis;
- Prepare presentations, graphics, letters, memos and bulletins (Canva/PowerPoint/ MSWord/Google Docs);
- Maintain a high level of confidentiality and discretion in handling sensitive information and data;
Qualifications and Experience:
- Five (5) years’ experience in supporting a senior executive or team, previous administration experience is considered an asset;
- Very strong level of competency in the Microsoft Office suite (Outlook, Word, PowerPoint, and Excel); Google Suite; Asana; Miro; and Canva.
- Preference will be given to Yukon residents;
- Experience working with First Nations and other Governments is highly desirable;
- Ability to work within a team environment with demonstrated communication skills, sharing information, and seeking input to complete assigned work;
- Self-directed and self-motivated, showing initiative to do more than is expected or required in the position;
- Strong problem-solving/troubleshooting skills with the ability to work under pressure;
- Good communication skills with strong command of the English language;
- Minimum grade 12 or equivalent required;
- Must pass pre-employment criminal records check, hold a valid driver’s license, provide a driver’s abstract
