Job Description
The Executive Assistant will:
- Provide high-level confidential executive and professional administrative support to the Vice-President, External Relations.
- Act as the main contact to external leaders (government, donors, partners), senior executives, employees and international stakeholders, the incumbent will actively enhance both the Vice-President's and King’s reputation.
- Support relationship management with internal and external stakeholders; acting as the first point of liaison with a variety of stakeholders including Foundation board members, significant donors, alumni, business leaders, suppliers, and all King’s staff to anticipate stakeholder needs and help them navigate contact with King’s.
- Ensure that the Vice President has up-to-date, accurate and manageable daily schedules that are properly aligned with strategic priorities. Manages the Vice-President's calendar, arranges and organizes meetings including room location, agendas, meeting materials, and minutes as required.
- Develop and implement administrative procedures, systems and processes to support effective and efficient work-flow in the Vice-Presidents office, for both day-to-day activities and individual projects, to ensure smooth functioning of key deliverables in areas such as department planning, market research, advertising, international diversification or other areas, as required
- Anticipate and respond to the administrative needs of the Vice President. Demonstrate a deep understanding of the Vice-President’s responsibilities to be able to review incoming communications and make sound judgements about priorities.
- Organize all internal stakeholders for group meetings, one-on-ones, committees, all-hands, and External relations leaders; providing ample timelines for planning balanced against flexibility to respond to unanticipated changes or opportunities.
- Prepare administrative budget requirements, creates Purchase Requisitions, code invoices, track expenditures and prepare monthly office expenses for approval.
MINIMUM QUALIFICATIONS (unless identified as preferred):
The Executive Assistant will have:
- A College diploma
- At least 5 years of relevant experience
- Exceptional oral and written communication skills, strong interpersonal skills, attention to detail, superior discretion, excellent judgment, tact, diplomacy, creativity and initiative
- Outstanding organizational, interpersonal, and intercultural skills
- Advanced knowledge of Microsoft Suite
- Prior experience supporting a Senior Level Executive
TYPE OF JOB:
Permanent Full-Time – 35 hours per week
SALARY RANGE:
SSG 11 - $56,000 - $68,229 per annum, dependent on experience
