Executive Assistant
Niradia Enterprises is an integrated real estate developer, contractor, property management, and hospitality company with a proven track record and a well-respected presence in Western Canada.
Our team is actively looking for an Executive Assistant to work with our President. In this dynamic role, you will be involved in planning and executing general business operations and management, while playing a crucial role as the primary point of contact for administrative and support matters. This role will work across Niradia’s four main operating divisions, requiring strong communication skills, a high aptitude, flexibility, and ability to function with minimal direction.
YOUR ROLE AND RESPONSIBILITIES
- Maintain and update fluid calendar – plan, monitor, and coordinate daily/weekly schedule and Outlook calendar including ability to change / revise appointments as necessary for both personal and business- related appointments.
- Manage travel arrangements – book flights, hotels, cars etc.
- Manage physical mail, emails and text messages for the President – read and analyze incoming emails, answer and distribute as needed. Reply to text messages and phone calls as required.
- General correspondence – compose various employee and misc. administrative memos/letters as required; communicating with internal and external parties via phone and email.
- Meetings minutes – take or type minutes and distribute them in a timely manner, archive and file the minutes in an organized, systemic manner.
- Credit card expense reports – receipt match, code and recover any missing receipts.
- Manage invoice payments and approvals of payments – write cheques, obtain appropriate approvals, facilitate online payments and maintain records of transactions.
- Maintain a filing system – bank statements, employment documents, invoices, etc.
- Generate data reports – this includes cheques registry, banking, mortgages etc.
- Taxes – compose rental and property income/loss statements, compile all tax forms to be distributed to external consultants.
- Perform other duties as required.
YOUR BACKGROUND:
- Must have strong business acumen with the ability to make decisions, manage time effectively, and keep organized with conflicting priorities.
- Detail oriented with exceptional organizational skills and ability to multitask.
- Highly-motivated individual who is capable of using initiative and self-managing skills to work effectively and independently with minimal direction.
- High level of professionalism.
- High levels of integrity and discretion.
- Excellent verbal and written communication skills.
- Advanced Microsoft Office skills.
- Previous experience as an Executive Assistant or Administrative Assistant required.
- College or University education preferred.
- Social media and marketing skills would be an asset
- High energy, self-motivated and flexible
- Hours: Mon to Fri (9-6pm) 1 hour lunch
