We are looking for an energetic person with a passion for helping people to join our team. This position requires a person with a strong attention to detail, is dependable and shows initiative. Applicants should be able to complete expected tasks without supervision, while seeing their role within the context of a team of support staff.
Optimum Health is a multidisciplinary clinic offering chiropractic, massage therapy, athletic therapy and fitness services in Smiths Falls. Our sister office, Cordick Chiropractic, is located in Perth and applicants must be available to work at either location, as needed.
We pride ourselves on offering personalized approaches and solutions to our practice members, and building rapport in our community. Our goal is to foster relationships with our practice members and earn their trust, as compared to processing their experience on a transactional basis. Our work culture is professional, but not overly formal, and our team dynamic is open and friendly.
The primary role of our support staff is to be the face and voice of our practice as our first point of contact to practice members. The role involves managing our front desk and making people feel welcomed. Support staff are essential in assisting the clinic flow and helping our practitioners keep their focus on clinical care. Assisting in administrative functions, practice growth and management are also key areas.
No previous experience in administrative or healthcare office roles is required. As this position offers full training and support, our recruitment efforts are focused on finding a lateral thinker who can engage the public with ease, who is a multitasker, and is comfortable in a dynamic environment.
Position responsibilities include, but are not limited to:
- Generic administrative functions such as performing opening and closing duties, -answering and returning telephone calls and email messaging, greeting and directing practice members, scheduling, billings and collections
- Business support such as managing retail inventory and treatment supply needs, basic cleaning and housekeeping duties, basic marketing and social media management and contributing to business development and growth
- Practice growth and provider support such as assisting providers with day to day needs, basic health promotion and educating the public regarding our services and offerings and instilling confidence in our practice members and the public by upholding the credibility and good will of our office and ensuring a welcoming and health positive atmosphere
- Contributing to our clinical team by enhancing the care of our practice members via each interaction in a personalized and relationship focused manner, by being responsive to spontaneous changes in attentional demands and problem solving in a fluid nature versus an algorithmic manner.
Experience and Background
-Familiarity in Microsoft Office programs (including Word, Excel and PowerPoint)
-Applicants must have verbal and written proficiency in English
-Superior interpersonal skills, in person and over the phone
-Ability to respond quickly in a changing environment
-Ability to prioritize and manage conflicting demands
-Applicants must have at least a high school or equivalent education
Must be available to work approximately 18-36 hours per week, with flexibility on days (Monday – Fridays).
