Position Specification (continued) Page 2The Role:This is a full-time, permanent position which will initially serve as a 12-month maternity leave replacement. Once the incumbent EA returns, the role will transition to another similar position within the company.
We are seeking a highly polished, energetic, detail-oriented administrative professional who enjoys working in a fun, fast-paced environment with a great corporate culture in a fast-growing, entrepreneurial business!
The ideal candidate will have a sense of urgency and be able to proactively anticipate needs, i.e., proactive vs. reactive. This is an amazing opportunity to be immersed in the world of a rapidly growing industry disruptor and its key advisors / executive team.
It is important that this individual has the ability to work independently, has outstanding communication skills, is detail-oriented, with strong customer service skills, and has the ability to work constructively with a variety of stakeholders with a tactful, positive approach.
Duties and Responsibilities:
- Responsible for all administrative support including any confidential matters.
- Calendar management and scheduling
- Schedule, coordinate and attend meetings and video shoots. Set up, including catering when required.
- Minute taking including action items assigned to stakeholders.
- Responsible for coordination of various executive functions (video shoots, events, etc.) and meetings, including venue research; food and beverage coordination, reservations, etc.
- Coordinate all travel arrangements - international and domestic.
- Complete and submit expense reports for executives.
- Registration of executives in various courses, conferences, and seminars – management of memberships for different organizations and associations they are affiliated with, responding on their behalf for receptions, parties, workshops, and presentations.
- Own the Prize Giveaway Program (source, ship, and track prize giveaways)
- Various personal work as needed such as reservations, appointments, errands, etc.
- Assist with philanthropic efforts such as appearances, boards, etc.
- Other duties as required, support and work with other Executives and team members.

Background Experience and Skills:- 3 to 5 years of administrative experience, preferably at an intermediate level
- Post-Secondary Education in a related field
- Ability to maintain a high degree of professionalism while working with deadlines.
- Ability to handle highly confidential material and correspondence.
- Superior communication skills (both oral and written) and ability to use good judgment.
- Highly organized with the ability to multitask.
- Anticipate needs and proactively act accordingly.
- Detail-oriented and proactive approach
- Strategic thinker with an innovative spirit
- Sense of urgency; proven ability to set priorities and handle multiple tasks simultaneously.
- The ability to work independently and be accountable but also works well within a team setting.
- Team-oriented individual who shows initiative and demonstrates flexibility.
- Advanced Microsoft Office and Google Suite skills
- I.T. savvy – the ability to troubleshoot basic computer issues.
- Ability to travel.
