Job Description
The Manitoba Society of Occupational Therapists (MSOT) is seeking an Executive Director. MSOT is a growing, incorporated professional association for student and registered Occupational Therapists in Manitoba. Since 1961, MSOT has played a vital role in building, promoting and strengthening the profession while supporting the individual growth and development of Occupational Therapists. In this yearly contracted position, the Executive Director, reporting to the board of directors, is primarily responsible for the daily management and administration of the organization, which would include the following:
- Membership recruitment, retention, service and administration – this may include such things as membership marketing, maintaining membership database and responding to member inquiries in a timely manner.
- Supporting association Governance to include organizing monthly meetings of the board of directors, drafting board agendas and reports, and following up on action items. In conjunction with Director of Events and Awards organize annual general meeting and assist with board recruitment and nominations as required. Attends all board meetings and committee meetings as requested
- Support organizational strategic goals through policy and procedure development and establishment of operational systems
- Event coordination and management – working with Director of Events and Awards and Director of Professional Development, organize annual OT Celebration Night and regular professional development opportunities. Responsibilities will vary but may include preparing marketing materials, overseeing registration, tracking event budget and finances, event administration and serving as general resource to Board of Directors and committees.
- Accounting and finance – in conjunction with Board Treasurer, responsible for financial management of association to include developing annual budget, managing resources in accordance with approved budget including monthly financials, invoicing and collections, accounts payable, banking, preparing journal entries and producing financial reports for board meetings; and coordination of year-end financial review.
- Public Relations and Communications – in conjunction with MSOT’s administrative assistant, serve as the MSOT central office, responding to all mail, telephone calls and email in a timely manner; maintenance of MSOT website; establishing and maintaining positive relationships with the many groups that support, influence or are affected by the work of the organization. Consults with the President and Board of Directors and acts on behalf of the Association where and when authorized to do so by the President or Board.
- General Administration – upkeep of corporate records, renewal of licenses and insurance, maintain cloud-based file and hard copy file system.
Qualifications:
- At least 3 years’ experience working with business and administrative operations specific to non-profit organizations, board and staff relations/supervision.
- Post-secondary education in business, communications, marketing, or not-for-profit management or in health care field (ex. Occupational Therapy, Physiotherapy, Social Work) with leadership experience. Combined equivalent experience in the field of leadership, professional association management, fundraising, public administration or business will be considered.
- Experience developing collaborative relationships across diverse stakeholders in the government, health care sector and with the general public.
- Knowledge of/experience in the health care system, OT professional trends, professional advocacy and related issues which may impact the profession is an asset
- Knowledge of organizational planning and volunteer management
- Multi-tasker who can set priorities and work independently, be self-directed, able to prioritize tasks, and assess and meet needs as they arise.
- Excellent oral and written communication skills.
- Administrative, computer and bookkeeping skills with attention to detail – experience with Microsoft Word, Excel and QuickBooks Online. Knowledge of WordPress an asset.
Hours/Salary/Payment of Services:
- Hours starting at 25 per month.
- Compensation to commensurate with qualifications/experience and will be paid monthly.
- As this is a professional service contract, there will be no contribution to any employee benefits program, RRSP, vacation or sick pay. As an independent contractor, MSOT will not deduct any income tax or other source deductions from this monthly payment. You will be responsible to submit income tax, EIA and CPP contributions independently. Hourly salary will be compensated to reflect this.
- This is a mostly remote job, requiring attendance at in-person meetings/events within Manitoba on an as needed basis.
- Mileage, home office stipend and yearly education allowance are provided.
