Job Description
We are looking for a proactive, detail oriented and engaged individual to join our Toronto office team. The successful candidate will demonstrate initiative, a ‘can-do’ approach along with strong communication and organization skills. This is a great opportunity to develop your expertise in office management and administration within a collaborative office environment. The role is required to be in-office 5 days per week.
Key Responsibilities
- Inventory, stock and rebalance kitchens daily
- Maintain Print Rooms, including stationary, photocopiers and printers
- Order stationery and grocery supplies for the office
- Set-up / Clean-up for meetings and keep print and conference rooms clean & tidy
- Set up conference room for Design Meetings
- Participate in office social endeavors such as delivering fruit/treats to each kitchen on an as needed basis etc.
- Reception Relief – Answering telephones, paging office, assisting callers, greeting visitors, and arranging couriers
- Order uber rides and taxis as necessary
- Assemble and provide new staff with welcome packages
- Log mail packages received into the shared spread sheet and deliver packages to staff members desk
- Various errands (delivery and pick up of documents and small items, pick up of catering orders, hardware store purchases, and bank deposits).
- Publish internal blog posts as needed
- Process outgoing cheques – Fold, envelope, seal, stamp and mail/courier.
- Assist with occasional venue/catering sourcing for off-site events
- Assist Admin / Architectural staff as needed
- Other duties as necessary
Qualifications
- 1 – 2+ years of office administration experience would be an asset
- Ability to lift up to 20lbs
- Willing to work in-person 5 days per week
- Proven excellence in interpersonal and communication skills both in person and over the telephone
- Proficiency with MS Office applications (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills
- Ability to work in a team environment
- Professional and mature attitude
- Able to multi-task and prioritize
- Punctual and reliable
