Marsim Auto Group is seeking a Human Resources Assistant to join our team. The ideal candidate will be a team player who is organized, flexible, and has the ability to work independently.
This role strongly focuses on the people & culture of Marsim Auto Group, in order to make a positive contribution to the organization’s success. This role is customer-focused, both internally and externally. This employee will work closely with the Management Team. Working in a fast-paced environment the main responsibilities of this role will be to assist in every area of the business of Marsim Auto Group and its’ customers, while ensuring that candidate and employee experience is positive.
Administrative & HR tasks:
- Coordinate meetings, reservations & travel for Executive Team.
- Managing the phone system and voicemail system.
- Plan, organize & coordinate special events for Exec meetings with suppliers and head office.
- Take minutes for weekly managers meetings.
- Update the company organizational chart.
- Help improve employee communication via staff bulletin boards, DealerPilot, email, signs in employee areas of the dealership, etc.
- Manage and Coordinate Social Committee and staff events.
- Work with Management Team with planning and organizing of annual holiday party.
- Manage Employee Year’s of Service Awards.
Recruitment
- Work alongside Dept Managers to actively identify recruiting needs, in order to recommend solutions and assist with recruiting needs.
- Working with Dept managers to ensure a detailed job description is created for each job posting/new hire.
- Responsible promoting the job posting using various platforms such as Indeed, Linkedin, etc.
- Reviewing all job applications.
- Conducting phone interviews and scheduling and coordinating of person-to-person interviews.
- Manage the paperwork process for designated new hires efficiently and with attention to detail.
- Manage recruitment process including sourcing, interviewing, assessing candidates and ensuring all communications are conducted in a positive manner to provide an outstanding candidate experience and represent MAG.
- Maintain a proactive talent pool.
- Conduct reference checks, background checks, drivers abstract, vulnerable sector screen checks, etc.
- Support MAG initiatives designed to maximize employee satisfaction, while building, improving and reinforcing the company culture.
- Demonstrate appropriate recruitment strategies.
Onboarding
- Manage onboarding process.
- Update the onboarding process and ensure all documentation is current.
- Update HR drive onboarding material.
- Ensure each team lead is actively participating and provides proper orientation for each new hire in their job.
- Ensure each team lead introduces new hires to specific staff they will be working with.
- Create employee ID numbers, updating employee information, providing necessary employee information in a timely manner, creating employees files and ensuring that all required documents are on file.
Termination
- Conduct exit interviews and administer severance.
- Assist with firing decisions and notification of termination.
- Ensure all legal paperwork is prepared, presented in a professional manner and signed by employee.
- Ensure documents are stored in employee file (physical and electronic copy).
Facilities Management
- Ensure new hire is set up properly to function effectively and productively including work space, computer, software, office supplies, phone system set up, voicemail activation, access cards, etc.
Training and Development
· Identify necessary training for each department, develop programs, set learning objectives, set training calendar, source trainers internally and externally and evaluate program effectiveness (other than HACC Signature Program).
· Assess and develop training plans by department and/or organization as a whole.
