Position Title: Human Resources Assistant
Work Hours / Status: 35 Hour Work Week/Contract
Position Reports To: Human Resources Manager
Location: Newmarket, Ontario (On-Site)

The Indigenous Primary Health Care Council (IPHCC) is an indigenous-governed, culture-based, and Indigenous-informed organization. Its key mandate is to support the advancement and evolution of Indigenous primary health care services provision and planning throughout Ontario. Membership includes Aboriginal Health Access Centres (AHAC), Aboriginal governed Community Health Centres (ACHC), other Indigenous governed providers and partnering Indigenous health researchers and scholars. Summary – Purpose of the Job
The Human Resources Assistant will be responsible for providing transactional Human Resources support to the Human Resources Team, with efficiency being the key goal. They will assist in the development and implementation of policy, recruitment, onboarding, training, payroll, benefits, health and safety, offboarding, and other areas as directed. The Human Resources Assistant will be responsible for maintaining accurate, up-to-date HR filing systems and personnel records, drafting reports, and supporting other departments cross-functionally with HR related clerical duties. Other duties will be assigned as necessary.
Key Duties/Responsibilities
- Support the Human Resource Manager with all transactional HR functions.
- Maintain accurate and comprehensive personnel records.
- Maintain computerized HR information systems.
- Assist in the recruitment and selection processes.
- Prepare formal communications to employees for HR management to review.
- Assist with payroll and benefits administration as required.
- Respond to internal and external Human Resources related inquiries from member sites, department managers, business partners, and other parties.
- Distribute HR policies, procedures, and memorandums to the appropriate individuals, divisions, or departments across the organization.
- Draft general forms, letters, reports, and memos as necessary.
- Assist with the conduct of disciplinary action.
- Assist with the development of policy and procedures.
- Help to ensure organization wide compliance with policies, procedures, and applicable regulations.
- Assist with employee onboarding, orientation, and training.
- Assist HR Manager with training program development.
- Provide assistance with regards to organization research and succession planning.
- Receive and distribute all forms of HR communications.
- Assist with regular research and compliance initiatives regarding Human Resources issues.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Use standardized filing methods and procedures, e.g., alphabetical, numerical.
- Provide collaborative support to other internal teams.
- Perform other duties as required.

Technical Skills Requirements
- Proficient in Human Resources Information System (HRIS) platforms.
- Proficient in Microsoft Office Suite.
Qualifications
- Diploma in Human Resources or related field.
- CHRP designation or actively working towards designation.
- Experience as a Human Resources Assistant preferred.

Mental Effort
- Capacity for sensitive and responsive listening and concentration skills, due to frequent interruptions, for short periods of time on a continuous basis.
Physical Effort
- Office environment - hand-eye coordination for moderate-to-extensive work on computer keyboard and screen.

Compensation
Salary is commensurate on qualifications, experience and is set within the IPHCC’s established salary grid and policy guidelines.
IPHCC cannot accept applications from outside of Ontario. Some travel will be required within the province. THIS IS AN ON-SITE POSITION (not remote).
