Founded in 2002, the NWMO has been guided for 20 years by a dedicated team of world-class scientists, engineers and Indigenous Knowledge Keepers that are developing innovative and collaborative solutions for nuclear waste management. Canada's plan will only proceed in an area with informed and willing hosts, where the municipality, First Nation and Metis communities, and others in the area are working together to implement it. Job Summary:Reporting to the Vice President, Human Resources & Chief Ethics Officer, the Human Resources Coordinator will be responsible for supporting Human Resources activities, strategies, and programs, Key responsibilities include preparing HR reports and correspondence; supporting recruitment efforts; coordinating the onboarding of new employees; participating in HR projects and maintaining employee records and files. In addition, the incumbent will provide confidential administrative support to the Vice President, Human Resources & Chief Ethics Officer, Director, Human Resources & Labour Relations and Director, Learning & Development, as needed.
Responsibilities
- Develop and maintain a comprehensive understanding of HR policies, procedures, programs and relevant collective agreement provisions.
- Respond to day-to-day employee HR requests, redirecting inquiries where appropriate.
- Provide confidential administrative support to the Vice President and Directors in Human Resources, as needed from time to time including but not limited to calendar and email management; completing expense reports; collecting and analyzing information and preparing reports.
- Develop standard and ad hoc HR reports and analysis to generate meaningful business insights.
- Maintain confidential employee files and ensure HR database and benefit provider systems are accurate and up to date.
- Coordinate and conduct the onboarding of new hires providing staff with governing documents and information on benefit programs and including creating new employee files, administering paperwork, updating the human resource information system (HRIS) and benefit provider systems.
- Subject matter expert on the back-end administration, configuration issues and producing reports via Business World (BW).
- HR data is entered accurately and in a timely manner for payroll.
- Support recruitment activities such as posting job advertisements, screening applicants, scheduling interviews, interviewing candidates, and performing reference checks.
- Administer and maintain the NWMO-University Learning Management System and act as the primary contact for LMS-related concerns and questions from staff.
- Support the Learning and Development function through developing and preparing relevant data and reports and manage standing meetings.
- Assist with the roll out and implementation of new HR programs, tools and systems including participating in testing, and training tasks.
- Prepare and process a range of document including but not limited to, letters of employment, termination letters, attendance reports, benefits documentation, and forms.
- Support bargaining and investigation processes by creating agenda and gathering/distributing materials.
- Take minutes at Joint Union Management Committees.
- Manage department invoices to ensure they are correctly coded and processed in an accurate and timely manner. Track departmental budget against invoices received.
- Manage workflow of HR governing documents.
- Schedule and coordinate logistics for meetings and committees including preparing agendas, taking minutes, and organizing documentation.
- Maintain NWMO's organizational chart in governing documents and intranet.
- Provide administrative support for various HR projects and continuous improvement initiatives.
- Act as a back-up for the Payroll Administrator role, as needed, to run regular payrolls.
- Perform other duties as required.
Qualifications and Experience
- Bachelor's degree in a related field.
- Preference will be given to candidates with their CHRP designation.
- More than 4 years of progressive experience in Human Resources administration.
- Experience with HRIS or other HR related technology systems.
- Strong working knowledge of MS Office (Outlook, Word, Excel, PowerPoint).
- Knowledge of Employment Legislation.
- Ability to interpret HR policies, procedures, and initiatives.
- Ability to maintain strict confidentiality of all HR information.
- Outstanding communication and interpersonal skills.
- Able to manage multiple priorities and tight deadlines.
- Excellent analytical and problem-solving skills.
- Process oriented with a continuous improvement mindset.
- Ability to work independently and as part of a multi-disciplinary team.
- Outstanding attention to detail.
- Experience working in a unionized environment would be an asset.
Other Information
This is a non-unionized position requiring occasional extended hours.Extended periods of time sitting at desk, entering, and reviewing HR data.
Must be eligible to work in Canada.
NWMO currently operates in a hybrid work model of 3 days in the office (Tuesdays being universal) and 2 days working from home.
